Preferred values for fields

When adding data, you can have certain fields automatically populated with a preferred value. You can set this preferred value yourself.

Description

You can record preferred values for nearly all fields in properties windows and wizards. The administrator can record these settings for all users, but users can also record their own personal settings. This makes Profit quicker and easier to use, while at the same time preventing errors.

Personal field settings for ordinary users are:

  • Set a preferred value
  • Display last selected value

Field settings for administrators:

  • Set as mandatory
  • Make visible/invisible

If the administrator has specified a setting for a field, users can no longer record personal settings for it. Depending on the level at which the settings are recorded, the setting applies to one user (user level) or to all users (administrator level).

Note:

You need to be authorised for the field settings on administrator level.

There are two ways to set a field:

  • From the field as it occurs in the wizards and the properties windows.
  • From the field settings in the Management tool. For the latter method you have to start by finding the field in question in the right function and the right file.

Procedure

  • Set a preferred value

    If you record the preferred value for a field, Profit will suggest this preferred value automatically for new input. This option is available for almost all input fields in tabs.

  • Last used value

    You record that the value selected last should always be suggested in a field.

  • Make a field changeable/non-changeable

    You can make sure that the input in certain fields is always correct by setting preferred values in combination with the Changeable setting.

  • Restore field settings

    As a regular user you can always undo the settings that you have specified for a particular field. By doing this, you copy the administrator settings.
