Compress data

Aggregation means that you merge lines on the condition that they have certain features in common. For example, you can merge all lines that contain the same ledger account number. If you do, the line amounts (debit or credit) are automatically added together. Operations other than adding are also possible, for example you can have the minimum or maximum value of a line determined.

When merging text fields, Profit can only determine the number of text fields (i.e. the number of lines). You cannot merge memo fields.

Aggregation improves the readability of your reports and analyses. It also keeps you from hitting the maximum number of rows in Microsoft Excel as quickly. The maximum number of rows in Microsoft Excel is around 1,000,000.

Compression is not possible in views.

The fields in the first two columns have values that appear multiple times. The only thing different is the amount. You can compress these fields by amount, merging lines and balancing the amounts. This gives the following result:

Your data collection now only has three lines instead of six.

Compression is not possible in views.

To compress data:

  1. Open the data collection.

  2. Click on: Compress.

    This opens a window showing the fields you can use for the compression.

  3. Move the field to be compressed to the Fields to be calculated box.

  4. Select the calculation method.
  5. Click on: OK.
  6. Click on: Close.

  7. Click on: Close.
  8. Click on: Finish.

    You return to the properties of the analysis.

  9. Click on: Finish.

    Profit opens the analysis. It is based on the compressed lines from the data collection.
