Record the destination of a dossier item type

The destination of a dossier item determines the dossier in which you can view the item. You can select multiple destinations. For example, if you select Employee and Course as destinations, you can open the submitted dossier item from the employee and course dossier.

In the dossier item type, you specify the destinations a dossier item can be added to.

Once they have been added to an organisation such as XX, dossier items are displayed everywhere organisation XX is visible, for example, in the sales contact data, etc.

By default, all destinations in the dossier item type have the Not allowed setting. This means that you cannot add dossier items of this type to the dossier of the destination in question. You determine the setting per destination yourself.

Example: Note

For the Note dossier item type, you have specified it can be sent to all regular destinations, regardless of whether they are organisations or employees. When the dossier item is sent, at least one of these destinations must be selected.

In this case, you set all possible destinations to Make one of these mandatory. When you add a dossier item of this type, you select the destinations you want to add. If you do not select a destination, a message appears telling you that you have to select a destination.

If you add a dossier item by first selecting a destination, for example Organisation XX, the Organisation/person check box is already selected and cannot be changed.

To set destination(s) for a dossier item type:

  1. Go to: CRM / Dossier / Configuration / Dossier item type.
  2. Open the properties of the dossier item type..
  3. Go to the tab: Destination. Here, you see the default destinations, based on organisations and persons.
  4. Select a destination, for example, Organisation/person.

    By making multiselect visible, you can select multiple destinations.

  5. Click on the action:
    • Optional

      This means that when submitting a dossier item, you can select whether it should be registered in the dossier.

    • Mandatory

      If you set a destination as mandatory, it cannot be deselected in the dossier item.

    • One of these mandatory

      If this setting has been chosen for multiple destinations, the dossier item cannot be saved until one of these destinations has been selected.

    • Not allowed

      The dossier item cannot be added to a dossier with this destination.

    • InSite

      You can submit a dossier item in InSite if you indicate that on the In & OutSite tab. Select a destination and click on InSite on/off. This selects the Submit in InSite check box for the destination.

  6. Go to the tab: Destination Extra.

    Here, you see deviating destinations, such as campaign, course event, item and project, insofar as they are applicable for you.

    Using the Dossier item destination, you can create a dossier for a specific dossier item, a so-called sub-dossier.

  7. Click on: OK

In the dossier item you submit, you see the possible destinations under the header Display in file.
