Check for duplicate organisations

There are a number of ways to check your database for duplicates, including the Totalizer. You can then merge the duplicate organisations or persons that are found. We recommend you systematically check and improve your database.

In the procedure below you check for duplicates based on the postal code. If the combination of postal code and house number appears in the database more than once then this is an indication that there are duplicate organisations or persons.

To check for duplicate organisations:

  1. Go to: CRM / Organisation/person / Organisation/person.
  2. Click on: Views.
  3. Click on: New view....
  4. Add a view that is based on the existing Organisations and Persons view.
  5. Click on: Next.
  6. Enter the description.
  7. Click on: Next.
  8. Add the Postal code (via Address / Address / General) and CoC number fields (via Organisation fields).
  9. Place these fields under the Kind field.
  10. Click on: Next.
  11. Click on: Advanced filter.
  12. Select the Kind field (Organisations/persons) and filter on the value *org (text appears in field).
  13. Click on: Finish.
  14. Click on: Ctrl+Y  to launch the Totalizer:

  15. Drag the Postal code field to the Drag a column to this place to group this column box. You can print the view of the Totalizer if you want to.
