Calculate extra leave entitlement

Employees may be entitled to extra leave based on job type, age, or years of service. Profit automatically assigns extra leave if the employee qualifies, based on the settings for the leave type concerned. Profit determines the entitlement to extra leave on the basis of years of service using the Date employed (regarding years of service) field in the employee's contract.

The calculation of extra leave corresponds with the calculation of the normal periodical entitlement: a full-time employee is entitled to the full extra leave entitlement. For a part-time employee Profit recalculates the periodical entitlement using the default method.

Extra leave with one reference date

Profit determines the extra leave at the beginning of the leave period (provided that the employee is in employment at that time). In this case a reference date is used: if the employee satisfies the condition on the reference date, Profit will grant extra leave.

Example: (continuation):

The reference date is 1 July. The leave period is one calendar year.

An employee turns 45 on 15 May 2015.

At the beginning of 2015 Profit calculates the leave entitlement over the entire year. On the reference date of 1 July 2015 the employee is 45 years old. So Profit grants 8 hours of extra leave.

In 2020 the employee will turn 50. If the employee is still employed, Profit will grant 16 hours of extra leave. The extra leave of the previous threshold (45) is cancelled and the extra leave of the second threshold (50) is granted.

Extra leave with two reference dates

In the settings of a type of leave, two reference dates can be recorded. If an employee does not meet the condition on the first reference date, but does on the second reference date, then 50% of the extra leave is granted. In the following leave period, the leave will be allocated for 100%.

Example: (continuation):

The reference dates are 1 January and 1 July. The leave period is one calendar year.

An employee turns 50 on 15 May 2015.

At the beginning of 2015 Profit calculates the leave entitlement over the entire year.

  • On the first reference date the employee is 49 years old so Profit grants 50% of the extra leave entitlement. The basic entitlement is 8 hours. 50% of the basic entitlement is 4 hours.
  • On the second reference date the employee is 50 years old so Profit grants 50% of the extra leave entitlement. The basic entitlement is 16 hours. 50% of the basic entitlement is 8 hours.

In total the extra leave entitlement is: 4 + 8 = 12 hours.

In 2016 Profit grants the full extra leave based on the age of 50 years (16 hours).

Pro rata calculation

If the employee starts or ends employment during the year, the leave is granted pro rata. This also applies if the employee has a part-time employment, because the leave entitlement is always based on full-time employment.

It may be the case that an employee meets the condition (based on age) during a leave period, but leaves the employment earlier. Profit will then recalculate the extra leave.

The reference date is 1 July. The leave period is one calendar year.

An employee turns 45 on 15 May 2015.

The employee leaves employment on 1 May 2015. The employee is entitled to extra leave in the year he turns 45, even though he leaves employment before then. The leave is granted pro rata.

In case of leave on the basis of the job type, a pro-rata calculation can also be made if the employee gets a different job type during the leave period.

Concurrence of different types of extra leave

It may be the case that an employee is entitled to different types of extra leave. Entitlement to extra leave based on the job type is always granted, if applicable in combination with extra leave based on age or years of service.

  • Age and/or years of service

    These types of extra leave can apply simultaneously. You determine per leave type whether Profit only grants the highest of the two types or adds them together.

  • Job type

    Extra leave based on job type is always granted, irrespective of settings regarding age and year of service.
