Deactivate the old procedure

If you import your wage entries, you need to deactivate the old procedure - manual processing via the 'Zorg en Welzijn' agency.

To deactivate the old procedure:

You can add the new agency line manually or use an import:

  1. For all employees who are 'IZZ' insured, manually create a new agency line starting from the period in which you want to switch over to the new procedure.
  2. Create an analysis based on the Employee/agency details data collection to retrieve all current employees with an 'IZZ' insurance. Use this group to import all new agency lines with the import HR / Management / Import agency entry / 'Zorg en Welzijn'.

To add an agency line manually:

  1. Go to: HR / Employee / Employee.
  2. Open the properties of the employee.
  3. Go to the tab: Agency.
  4. Open the properties of the agency of 'Zorg en Welzijn' type.
  5. Click on: New.
  6. Enter the date on which you start with the new procedure as the start date.
  7. Click on: Next.
  8. Do not select the Calculate 'IZZ' premium check box.
  9. Click on: Next.
  10. Click on: Finish.

To add an agency line using an import:

  1. Go to: HR / Output / Management / HRM analysis.
  2. Click on: New.
  3. Select Based on a data collection.
  4. Select the Employee/agency details data collection.
  5. Click on: Next.
  6. Change the description to, for example, IZZ employees.
  7. Click on: Next.
  8. Click on: Change so that you can add fields and set a filter.
  9. Add the Start dateEnd date and Calculate 'IZZ' premium fields to the data collection.
    • You can find the Start date and End date fields through: Agency details employee/ General.
    • You can find the Calculate 'IZZ' premium field through: Agency details employee / Historical data.

      Enter 'IZZ' premium in the search field and click Search.

  10. Click on: Next.
  11. Set a filter for the end date. This field must be empty or have a date after the transition date.

    Example:

    You switch over to the new procedure on 01-04-2015. Therefore, you only want the employees for whom the end date is empty or is later than 31-03-2015:

    In that case, the filter on the end date is: [];>31032015.

  12. Set the filter to Y for the Calculate 'IZZ' premium field.
  13. Click on: Finish.
  14. Click on: Next.
  15. Click on: Finish.

    You now open an Excel file with the employees who are employed at the moment of the transition and for whom the Calculate 'IZZ' premium field is set to Y.

  16. Change the End field to 31-03-2015.
  17. Change the Calculate 'IZZ' premium field to N.
  18. If necessary, also filter on the agency 'PGGM' (P).
  19. Save the file as, for example, IZZ employees.csv.
  20. Go to: HR / Management / Import agency entry / 'Zorg en Welzijn'.
  21. Select Import through a new to be created definition.
  22. Click on: Next.
  23. Select the file that you just saved as File to be imported.
  24. Enter a name for File with rejected lines.
  25. If applicable, change the value in Read from line.
  26. Click on: Next.
  27. Set the import for the End date field to Fixed value. Here you enter the day before the transition date. If the transition date is 01-04-2015, enter 31-03-2015.
  28. Set the import for the Calculate 'IZZ' premium field to Fixed value. Leave the Fixed value field empty. This is the same as entering No.
  29. Click on Next three times.
  30. Click on: Check.
  31. Click on: Finish.
