Change the course of the absence

It is possible to change the course of absence for an absence entry.

Each absence entry contains absence course lines. When adding and closing an absence entry, an absence course line is automatically created. You can manually insert absence course lines, for example in case of changes in the absence percentage or when the employee resumes work on a therapeutic basis.

You manually add an absence course line if one of the following data changes as from a certain effective date:

  • absence percentage
  • presence percentage on occupational therapy basis
  • the substitute
  • the hour types for the integration with the actual costing
  • the nursing address
  • presence.

You make any other changes in the properties of the absence entry.

If you change the start or end date of an absence entry, Profit automatically changes the date of the linked absence course line.

You cannot specify any field settings for duration fields. That is because these fields have a specific combination of properties: for example, they are required fields and are not populated using a default value or they are calculated by Profit.

When you add a new absence course line, Profit copies the specification from the previous line. There is one exception to this: if in the meantime a timetable change has occurred, the number of presence hours (from the previous absence course line) can be greater than the number of hours based on the timetable. In this situation you must specify the presence hours in the absence course line again.

To add a new absence course line:

  1. Go to: 
    • InSite / My InSite / Absence course (manager action).
    • HR / Presence and absence / Absence registration.
  2. Select the absence entry.
  3. Click on the action: New course of absence line.
  4. Check the start date and time.
  5. Enter the percentage of Presence and Presence (occupational therapy-related).

    Profit automatically calculates the number of hours for an employee with a weekly timetable or a work timetable.

    If not, you enter the number of hours yourself. If you enter the number of hours, Profit calculates the percentage.

    Even in the case of 0% presence, activities based on occupational therapy may apply. You enter 0% in Presence and the applicable percentage in Presence (occupational therapy-related).

  6. Select the Specify presence check box.

    You can then specify the working hours per day. If you are using the Multiple employments functionality and you want to specify the working hours, record an absence entry per employment.

  7. Click on: Next.
  8. Enter the number of hours the employee will be present and, if necessary, enter the working hours for all working days.

    If in future absence entries with a new absence course line the number of hours specified does not match the percentage, you adjust the presence percentage.

  9. Click on: Timetable to view the timetable of the employee. If the employee has a weekly timetable or a work timetable, you see the timetable calendar (including any deviations added). In case of a variable work pattern without a work timetable Profit displays a list with timetable lines.
  10. Click on: Finish.
