Enable searching in InSite

You enable searching in InSite for each environment.

After enabling the search function, the contents (pages, documents and attachments) in the Profit database are indexed so that these can be searched using InSite. Dossier items are only indexed if this is set up in the dossier item type.

New content is indexed when it is added. When importing large quantities of dossier items or files, you can disable the search function temporarily if necessary so that the import is faster. After importing, you enable the search function again and the new content is indexed.

The name of the sender (of dossier items, documents and responses) is also indexed. However, the index is not updated if the name of the sender is changed. If you want to index the new name, disable the search function and then enable it again. This rebuilds the index.

To enable searching in InSite:

  1. Open the environment you want to make searchable for InSite.
  2. Go to: General / Environment / Management / Properties.
  3. Go to the tab: Search.

    This tab contains the The 'Full-Text Search' function is available for the Profit SQL instance field. This field is shown for information purposes; you cannot change it.

  4. Select the Activate search in InSite check box.

    This tab has an overview of attachment file types that will be indexed for information purposes. This means the users can carry out searches on texts of attachments with these file types.

    Note:

    The following applies for a local installation: for searches, iFilters are used. Most iFilters are available by default in Microsoft Windows. Several iFilters, indicated by an asterisk after the name of the file type, are installed by Profit. If a search in InSite does not produce any results, check first whether the file type is in the list of file types to be indexed. If this is not the case, you can check if an iFilter is available and install it.

  5. Click on: OK.

    Confirm you want to rebuild the index; this may take some time.

    It is also possible to build (or rebuild) the index later using the Update search index action. This action is only available if the Search in InSite check box is selected when starting the function General / Environment / Management / Properties.
