Add a shipment note

Using a Shipment slip you give the command to send the stock in the warehouse. As soon as you have added this, Profit reduces the stock of the article in the source warehouse and in the total stock. As yet, no entry is made in the target warehouse. We recommend you copy a Preparation for transfer to a shipment note and not to add a new shipment note.

The differences are:

  • Copy from a move preparation

    First you add a move preparation and you base your shipment note on this. A move preparation reserves stock in the source warehouse and places the same quantity 'on order' in the target warehouse. You can only keep track of the entire stock if you add the shipment note via the move preparation. After all, Profit uses the shipment note to deduct the reservation from the source warehouse, but keeps the same quantity 'on order'. This means that by adding the 'total quantity in stock' to the 'total quantity on order due to stock movement', you can calculate the stock including the 'quantity in transit'.

  • Add new without move preparation

    In case a shipment note is added directly without a move preparation, Profit does not reserve the quantity concerned nor does it add the quantity as 'on order', but it deducts the quantity from the stock in the source warehouse immediately. Profit enters the stock in the target warehouse only when the receipt note is added. Until that time you cannot calculate the quantity 'in transit' in Profit.

As soon as the articles have actually left the source warehouse, you report the Shipment slip as ready. If you add the shipment note via the move preparation, you have already checked the stock and you have it ready for shipment. In this case you can therefore report the shipment note as ready straight away. In the case of a shipment note without a move preparation you typically stage the articles first and then manually report the shipment note ready.

To add a shipment note based on an existing move preparation:

  1. Go to: Order Management / Warehouse transfer/ Shipment slip.
  2. Click on: New.
  3. If you have created a move preparation, select it in Corresponding preparation.

  1. Go to: Order Management / Warehouse transfer / Preparation for transfer.
  2. Open the properties of the move preparation.
  3. Click on the action: Create dispatch slip.

    You then see that Profit automatically enters the warehouses in the lines. Profit now writes off the articles that were reserved on the line. You can still change the quantity on the line.

  4. Enter a value in Requested receipt if there is a date by which you want to have the articles in the target warehouse.
  5. Enter a value in Promised receipt if after consultation with employees at the source warehouse a date is promised.
  6. Change Description if you do not want to show the default article name.
  7. Change Number of units if you do not want to move the quantity stated in the move preparation.
  8. Select the Reported ready check box if you want to report the shipment note as ready immediately.

    A shipment note must be reported ready before you can create a receipt note. If you don't do this now, you can do this manually after you have added the shipment note, for example when the articles are shipped. By reporting ready you indicate that the articles were found, picked and shipped. Profit writes off the stock when the shipment note is reported ready, regardless of whether you have selected this check box.

  9. Click on: Finish.

    You are now asked if you want to print.

  10. Click on: No.

    Now you send the articles from the source warehouse.

  11. Add a receipt note as soon as the articles arrive in the target warehouse.

To add new shipment note without a move preparation:

  1. Go to: Order Management / Warehouse transfer/ Shipment slip.
  2. Click on: New.
  3. In Source warehouse select the warehouse from which you want to move the articles, if you have not selected an accompanying move preparation.
  4. In Target warehouse select the warehouse to which you want to move the articles, if you have not selected an accompanying move preparation.
  5. Enter a value in Requested receipt if there is a date by which you want to have the articles in the target warehouse.
  6. Enter a value in Promised receipt if after consultation with employees at the source warehouse a date is promised.
  7. Add the line.
  8. Click on: Finish.

    You are now asked if you want to print.

  9. Click on: Yes.

    You can now prepare the articles ready for shipment.

  10. Manually report the shipment note ready.
