Configure leave types (leave entitlement based on actual costing)

You specify per leave type whether the periodical entitlement must be determined based on the project actual costing.

To set up leave types:

  1. Go to: HR / Organisation / CLA.
  2. Open the CLA properties.
  3. Go to the tab: Term of employment.
  4. Open the properties of the term of employment.

    This is a term of employment that is intended specifically for the employees who enter their worked hours via the actual costing.

  5. Go to the tab: Leave.
  6. Open the properties of a leave type.
  7. Go to the tab: Settings.
  8. Select the correct setting in Method.
    1. Leave entitlement (accrual) based on actual costing

      Profit accrues leave entitlement based on hour types for which the Provides leave entitlement check box is selected.. Select this option for the leave type 'Leave' (or Holiday). That is because leave entitlement is accrued over all hour types that entitle the employee to accrual. The leave can only be entered via the actual costing.

    2. Leave entitlement (accrual) based on actual costing (excl. 'Absence' hour type)

      Profit accrues leave entitlement based on hour types for which the Provides leave entitlement check box is selected., with the exception of the hour types of the Absence basic hour type. Select this option for the 'WTR' leave type. In this case the WTR entitlement is not accrued on the basis of the hour types of the Absence basic hour type, but is accrued for other hour types that entitle an employee to accrual. The leave can only be entered via the actual costing.

    3. Leave (accruing) based on actual costing, leave (taking) via HR

      Profit accrues leave entitlement based on hour types for which the Provides leave entitlement check box is selected.. Select this option for the leave type 'Leave' (or Holiday). Select this option if you want to enter leave through a leave entry in HR. You can also select, if required, a leave balance group.

    4. Leave (accruing) based on actual costing (excl. 'Absence' hour type), leave (taking) via HR

      Profit accrues leave entitlement based on hour types for which the Provides leave entitlement check box is selected., with the exception of the hour types of the Absence basic hour type. Select this option at the 'WTR' leave type if you only want to enter leave through a normal leave entry in HR. You can also select, if required, a leave balance group.

  9. Select the correct setting in Negative leave entitlement balance. The Limited based on accrued balance in actual costing setting is intended especially for leave accrual based on actual costing, but you can also use another method.
  10. Go to the tab: Integration.

    The Integrate leave entries in actual costing check box is automatically selected.

  11. Determine whether the periodical entitlement (accrual) should be updated when entering the actual costing lines or after their approval.

    The Leave accrual based on approved actual costing setting only applies to time off in lieu.

  12. In Hour type, select the hour type for Absence to actual costing. For leave entries in Profit HR actual costing lines with this hour type are created.
  13. Go to the tab: Integration Payroll.
  14. Select an option atLeave balance group if you want to journalise the value of the leave entitlement to Profit Payroll. This is only possible if at Method you have configured one of the methods for taking leave through HR.
  15. Click on: OK
