E-mail notification of appointment in Profit Calendar
Profit can automatically send an e-mail message to users who are invited to an appointment.
Description
Profit sends messages via the e-mail server that is configured, not via your e-mail program. The messages that have been sent cannot, therefore, be seen in your e-mail program. Profit always uses the sender that has been recorded as the sender Profit.
You decide whether Profit sends a notification per appointment. If it does, then Profit sends a notification in the following situations:
- When you add an appointment, all invitees receive a notification.
- When you delete an appointment, all invitees receive a notification.
- When you change an appointment, only users who have yet to accept the appointment and users where an appointment is assigned the status Still to be accepted as a result of the change, receive notification.
The notification is an e-mail message with a hyperlink that allows the user to open the appointment and then accept or decline it.
The e-mail message is only sent to Profit users and not to the contacts of relations who are involved in the appointment. The user who added or changed the appointment does not receive an e-mail message either.
Profit only sends an e-mail message if you have selected the Send notification E-mail to internal invitees check box in the appointment properties. When you add a series of appointments, only one e-mail message is sent.
The e-mail message contains the following general data:
- The sender is the sender recorded in Profit.
- The e-mail message is addressed to the employee's business e-mail address.
- The subject shows whether it is a new, changed or deleted appointment.
The e-mail message has the following content:
- Hyperlink to the appointment/series of appointments.
- Subject, Location , From, Till, Presence (Required / Optional), Invited, Contents.
- At the bottom of the message is the sentence:
This is an automatic message generated by AFAS Profit. You cannot respond to this E-mail.
Procedure
- Enter e-mail addresses of users
Users can receive a notification by e-mail of an appointment that has been made for them in Profit. This can only happen if there is an e-mail address recorded for the person who is linked to the user.
