Set preferred values

If you record the preferred value for a field, Profit will suggest this preferred value automatically for new input. This option is available for almost all input fields in tabs.

Example:

In the Country of birth field, you specify the Netherlands setting.

If a user adds a new person, the value Netherlands automatically appears in the Country of birth field. If this is correct, this field can be skipped. If it is not correct, this field can be changed.

The preferred value applies in New wizards and in Properties windows.

For the user, only the Changeable field setting is available; for the administrator the Visible and Mandatory field settings on the Administrator settings tab are also available. These options can be used in combination with the preferred value.

Note:

As a user you can set fields yourself. You have to be authorised to set a field for all users (administrator settings).

To set a preferred value:

1. Go to: the function.
2. Open the properties of a data element or click on New.
3. Right-click on the field name for which you want to record a preferred value.

   Profit shows the window with field settings.

4. Activate and select Preferred value.
5. Select the preferred value that you want to start using.
6. Click on: OK.

   

7. Click on: Yes.
8. The environment is opened again.
   • Preferred value

     Select this option and then, in Preferred value, select the value that you want to have suggested as a default when new data is added. If the field is a custom field and has no fixed values, you can enter your own value here. Select the following for NL for Netherlands atCountry of birth:

   • Preferred value by means of a field formula

     Select this option and click on the Show formulas button. The possible formulas for this field are now shown. You cannot use field formulas in every field: in date/time fields you can have a date/time determined using tags and in text fields you can make the code of the logged in user/employee the suggested value.

   • Copy preferred value of the administrator (user only)

     Select this option if you, as a user, want to copy the preference set by the site manager.
