Change a dossier item

You can change dossier items in Profit and in InSite. However, in some cases it is possible to change something in Profit that cannot be changed in InSite. This depends on the authorisation. It also depends on whether a dossier item has been recorded as an archived item or has been submitted in a workflow.

Changing dossier items is split up. The items you can change include:

  • Properties

    These are the General and Special fields in Profit Windows.

  • Destination

    This is not about changing the main destination, the organisation/person for which it has been submitted/recorded, but about sub-destinations such as Contact and Dossier. If one dossier item has been submitted to multiple destinations, the destination cannot be changed.

  • Change an Office attachment to the dossier item

    You can change Office attachments (Word/Excel). This can also be done afterwards (provided the dossier item has not yet been archived, it is allowed to be changed and the Link file check box is selected). If you are allowed to change the dossier item in a workflow, you are also allowed to change the attachment.

    The AFAS Temporary Office Accessapp connector must be unblocked.

    The maximum size of the files that you can register using the Profit Communication Center is 30 MB. You can register larger files in Profit by submitting a dossier item in Profit Windows.

  • Responses

    If you have the rights to view the dossier item, you can also add responses.

  • Sub-dossier

    In Profit Windows, you can always add sub-dossier items to or delete them from a dossier item. In Profit Windows, you can change the properties and the attachment or add a new sub-dossier item from the sub-dossier item itself.

    In InSite, you can edit properties, change the destination and add a response to the sub-dossier item.

    Note: 

    To be able to change a dossier item that has been archived, you must be authorised to view the dossier item type and one of the options for editing outside of the workflow must have been set in the Edit field of the dossier item type. If this is the case, you can change the properties, the destination and the attachment.

    To be able to change a dossier item that has been submitted in a workflow, the task must have been assigned to you as a user (see Workflow configuration). In this case, you can only change this dossier item in InSite. So this type of dossier items cannot be changed from Profit Windows. If a workflow dossier item is no longer in the workflow, the value of the Edit field will apply to the dossier item type.

To change a dossier item in Profit:

  1. Go to: the relevant view, for example for an archived item go to the:
    • General dossier view in Profit Windows by selecting CRM / Dossier / Dossier.
    • Destination in Profit Windows via Start menu (F4) / <product> / CRM destination / actual destination. Thus, for an organisation or a person you select: CRM / Organisation/person / Organisation/person and you search for the organisation or person intended. The destination could also be something like a project, subscription, etc.
    • Dossier item view in InSite, for example via ‘All dossier items’.
  2. If you have searched from the destination view, open the properties of the intended destination (meaning the debtor, creditor, employee or organisation/person, etc.).
  3. Open the properties of the dossier item.
  4. If necessary, change the properties.
  5. If necessary, change the destination.
  6. If necessary, change the attachment.
  7. Save the dossier item.
