Working with data configuration
You have extended options for viewing and analysing data you have recorded in Profit.
Description
You can display data using views, reports, analyses and documents:
- Views
Profit displays your data in the form of views, which are lists formatted as columns. You can customize your views according to your preferences and sort, filter and print the data.
- Reports
You use reports in Profit, among other things, to create overviews and lists, labels, invoices, etc.
- Analyses
An analysis is a powerful instrument for generating management information that you can present in Microsoft Excel or publish as a cockpit on InSite.
- Documents
You can use the Profit Document generator to merge Microsoft Word documents with Profit data, for example to generate default letters.
Diagram of the relationship between the Profit database and the different output options:
The database contains a large number of tables, some with technical data. This data is made accessible and enriched with calculated data via data collections.
When you create or adjust, for example, a report or analysis, you do not access the database directly, but use a data collection. With this approach, you can compose output in Profit with no database knowledge needed.
Procedure
- Data collections
Data collections are the link between the Profit database and the data shown in the output such as views, analyses, reports and GetConnectors.
- Configure documents
You can use the Profit Document generator to merge Microsoft Word documents with Profit data, for example to generate default letters.
- Views
A view is a list of data, such as ledger accounts, organisations and persons, articles, employees, etc. You can add and change views, for example by adding or deleting columns. You can also link a filter to a view. When the user opens the view, Profit will automatically apply the filter.
- Configure analyses
An analysis is a powerful instrument for generating management information that you can present in Microsoft Excel or publish as a cockpit on InSite.
- Configure reports
You use the Report generator to add and change reports. You determine the contents and the layout of the report.
- Definitions
Certain data in Profit is saved as a definition, for example reports and analyses. You can export definitions and import them in another environments and you can authorise definitions separately.
