Authorisation per definition type

Reports

Menu authorisation:

  • Maintain

    Authorise the central maintenance function General / Output / Management / Report and the maintenance functions per product (such as Financial / Output / Management / Report).

  • View

    Authorise the central viewing function General / Output / Management / Report and the viewing functions per product (such as Financial / Output / Management / Report).

    Also configure the action authorisation: if a user does not have the right to use a viewing function, he can still access certain reports via an action.

Limit access with filter authorisation if users should only be able to view certain reports.

Limit access to data shown in a report using a data collection of the type 'Incl. authorisation'.

InSite

InSite has a central menu item for viewing all reports. If users have access to this menu item, you should apply filter authorisation to reports. If not, these users have access to all the reports.

Analyses

Menu authorisation:

  • Maintain

    Authorise the central maintenance function General / Output / Management / Analysis and the maintenance functions per product (such as Financial / Output / Management / Report).

  • View

    Authorise the central viewing function General / Output / Analysis and the viewing functions per product (such as Financial / Output / Analysis).

    Users of AFAS Online also authorise General / Output / My files.

Limit access with filter authorisation if users should only be able to view certain analyses. This is usually necessary, as each view includes an action for viewing and adding analyses.

Limit access to data shown in an analysis using a data collection of the type 'Incl. authorisation'.

Cockpits on an InSite site

You can generate cockpits on the basis of analyses and publish them to an InSite site. A different authorisation method is required for this.

Documents (Document generator)

Menu authorisation:

  • Maintain

    Authorise the central maintenance function General / Output / Management / Document and the maintenance functions per product (such as Financial / Output / Management / Document).

  • View

    Authorise the central viewing function General / Output / Document and the viewing functions per product (such as Financial / Output / Document).

    Also configure the action authorisation: if a user does not have the right to use a viewing function, he can still access certain documents via an action.

Limit access with filter authorisation if users should only be able to view certain documents. This is usually necessary, as each view includes an action for viewing and adding analyses.

Documents can be added via a new dossier item and can be viewed if they are linked to a dossier item as an attachment.

Views

Authorisation menu: N/A.

To maintain views, a central authorisation per authorisation group (or user) applies. If a user can add views, he can do this in all the functions to which he has access.

To export a view to Microsoft Word or Microsoft Excel, a central authorisation per authorisation group (or user) applies. If a user can export views, he can do this in all the views to which he has access.

You can link a default entry layout in various places, as a result of which users apply the correct entry layout by default. For example, you can link an entry layout per journal in Profit Financieel. To prevent users from using the wrong entry layout, you can block entry layouts.

GetConnectors

    General / Output / Management / GetConnector

You can use filter authorisation, but in practice you only grant access to the application administrator responsible for GetConnectors.

Data collections

Menu authorisation:

    General / Management / Data collection

You can apply filter authorisation, but in practice you only grant access to the AFAS consultant.

Management Tool

Menu authorisation:

  • Maintain and view

    General / Management / Management tool

You can use filter authorisation, but in practice you only grant access to the application administrator responsible for the Management tool.
