Authorise organisations and persons

You can also extend the filter authorisations for organisations and persons to linked types, such as purchase contacts and sales contacts, employees and employers. This means that the CRM - Organisations and persons default filter also applies to the linked types.You can implement the filter authorisation of the CRM - Organisations and persons default filter in the following default filters:

  • CRM - Purchase contacts
  • CRM - Sales contacts
  • HRM - Employees
  • HRM - Employers
  • Fiscal - Income tax clients (Windows)
  • Fiscal - Corporate tax clients (Windows)

    Example:

    You have set a filter for organisations and persons via the CRM - Organisations and persons default filter.

    You can also apply this filter to sales contacts. In this case you no longer have to apply a separate filter for sales contacts.

Implement CRM filter - Organisations and persons for filters by type

You can indicate for each type if you want to use the CRM - Organisations and persons data filter.

To implement authorisation of organisations and persons for other types:

  1. Go to: General / Management / Authorisation tool.
  2. Go to:Extra / Data filter maintenance.
  3. Select CRM - Organisations and persons.
  4. Add the filters for organisations and persons.

    Example:

    You filter on organisations and persons in the Netherlands.

    This authorisation filter is active for employee DavidB. This means that he only has access to Dutch organisations and persons.

  5. Select a data filter for a type, for example CRM - Sales contacts.
  6. Select the Combine with authorisation of organisations and persons check box.
  7. Add the filters for sales contacts. These will be combined with the filters on organisations and persons. Users only have access to the data that meet the criteria of both filters.

    Example:

    You filter on sales contacts that have an invoiced turnover greater than 0 for the current year.

    This authorisation filter is active for employee DavidB. The above filter (on organisations and persons) is combined with the filter on sales contacts. This means that he only has access to Dutch sales contacts that have an invoiced turnover greater than 0.

    You also have another option: you use a filter on a type, for example CRM - Sales contacts, and you select the Combine with authorisation of organisations and persons check box. For the CRM - Sales contacts type, you select Complete access (you do not specify filters for this type).

    This means that only filters of the CRM - Organisations and persons type apply to sales contacts.

    Example:

    You filter on organisations and persons in the Netherlands.

    For the CRM - Sales contacts type you have selected the Combine with authorisation of organisations and persons check box and Complete access. Thus you do not specify filters for sales contacts, but filters on organisations and persons also apply to sales contacts.

    The authorisation filter on organisations and persons in the Netherlands is active for employee DavidB. This means that he only has access to Dutch organisations and persons and Dutch sales contacts.
