Add an integration type

You add an integration type with settings for the journalising of a particular type of entry in a particular administration.

You must first authorise this action.

To add an integration type:

  1. Go to: General / Configuration / Integration settings / Integration type.
  2. Click on: New.
  3. In Administration, select the administration for which you are adding the integration type.
  4. In Integration type, select the integration type associated with the entries.
  5. In Journal, select the journal to which the journal entry must be posted.

    Depending on the integration type selected, you must select a journal of the Sales, Purchase or Day book type.

  6. In Credit invoices journal, select the journal to which the credit notes must be posted.

    Here, you can use the same journal as in the Journal field, or you can select a different journal.

  7. In Financial description, select the journal entry description for the entry that is posted to Profit Financieel. Profit determines the description while journalising.

    Example:

    A sales invoice whose financial description is set to Source + description source in the integration type:

    [vkf] Sales invoice

    An automatic project invoice whose financial description is set to Source + invoice contact number + invoice contact name in the integration type:

    [pro] 10032-Koninklijke Exhibitions Benelux B.V.

    Note:

    If you invoice per sales contact and you have set the integration type to Source + description project, Profit cannot retrieve the description of the project/projects. Profit then defaults back to the debtor as the description for the entry, i.e.Source + invoice contact name.

  8. Select the Use invoice discount check box to apply an invoice discount.
  9. Select the Use of credit restriction check box to apply a credit restriction. You can only complete this field if you have activated this functionality.

    If you select this check box, you must enter the account in Account credit restriction.

  10. Select the Use payment discount check box to apply a payment discount. You can only complete this field if you have activated this functionality.

    If you select this check box, you must also enter a value in Days payment discount. You can print this number of days on the invoice layout.

  11. Click on: Finish.

Journal integration in Course Management

The journal integration is applied as follows:

  • Profit determines the invoice number based on the Counter last invoice field in the master data of the linked journal.
  • The subscription invoices, when carried forward to Profit Financieel, are incorporated into the selected journal.

Use unique invoice numbers

Invoice numbers are generated in various places in Profit. An invoice number must be unique (may only occur once).

Use these tips to prevent different ranges from overlapping:

  • If possible, use the same integration journal for the integration of the sales invoices from Profit Order management, Profit Projecten, Profit Subscriptions and Profit Course Management.
  • If however you need to use different journals, ensure that the number ranges of these journals can never overlap, for example by adding of a letter.
  • Check that the numbering of the journals of Profit Financieel (purchase journals and sales journals) cannot overlap with the numbers assigned automatically in Profit Order management, Profit Projecten, Profit Subscriptions and Profit Course Management.
