Add a deviating sales contact profile

In a sales contact profile, you specify settings for journalising invoices. You also link the reports for the order process and the invoices, among other things. Profit supplies a default sales contact profile. In this default sales contact profile, the reports and invoices have already been linked to the provided Profit reports. This profile automatically applies to all sales contacts.

You can add deviating sales contact profiles, for example for specific customer groups. For each field that you leave blank in the deviating sales contact profile, Profit uses the settings contained in the default sales contact profile. To determine the administration and the journal, Profit uses the integration type if nothing is recorded in the sales contact profile. You then link the deviating sales contact profile to the relevant sales contacts.

Example: Deviating sales invoice report

You have created a special sales invoice report for a group of sales contacts; the other fields do not deviate from the default profile.

In that case you add a new sales contact profile for this specific group. In this profile you leave all fields empty, except the Sales invoice report field. For the sales contacts linked to this specific sales contact profile, Profit uses this deviating report for the sales invoice. For the other settings, Profit uses the settings in the default sales contact profile.

Note:

It is important that you properly set the fields in the default sales contact profile! Only complete the deviating fields.

To add a deviating sales contact profile:

  1. Go to: General / Configuration / Integration settings / Sales contact profile.
  2. Click on: New.

  3. Enter a code and a description for the profile.
  4. Set the deviating field or link a deviating report.

    Note:

    When you select reports, you can only select a report supplied as a default or reports based on a report supplied as a default. You cannot select a report you have added on the basis of a data collection, because in that case the Report type: (e.g. sales order, packing slip, sales invoice) is not known.

  5. Click on: Next.
  6. Enter the number of copies of the sales invoice to be printed.
  7. Enter the bank account number for the e-invoice.
  8. Click on: Next.

    You are now presented with the steps in which you can link the deviating message templates and reports to the order process parts and invoice types.

  9. If desired, select a message template for e-mailing the report via the E-mail and Output actions .
  10. Click on: Next.

    For every form (order, quotation, packing slip, etc) you can select a preferred report. You can delete a preferred report by clicking on Clear.

  11. Complete the wizard. 
  12. Click on: Next.
  13. Do the same thing for the invoices.
  14. Click on: Finish.
