Check contact details for the AFAS Signing Service
The digital signing process uses text and e-mail messages. For an internal signature via InSite, the signatory receives a text message containing a code. For an external signature, the signatory first receives an e-mail message and then a text message. That is why it is essential that mobile phone numbers and e-mail addresses are recorded correctly. If that is not the case, the messages of the digital signing process are received by the wrong person.
Telefoonnummers
All InSite users should have a valid phone number to receive SMS messages. A phone number should always start with a country code, like +31, +32 or +599.
If a phone number doens't start with a country code, the phone number will be changed for SMS messages:
- Does the phone number start with a ‘+’ followed by at least 6 digits? Than the phone number is valid.
- Does the phone number start with ‘+’, followed by the country code? Then the country code may not be followed by '0'.
For example: the phone number +310612345678 is wrong, it should be +31612345678 (without the '0' after the country code).
- Does the phone number start with ‘0’, followed by at least 4 digits? The digit ‘0’ will be replaced with ‘+31’ and the result is a valid phone number.
Note: Because of this, all numbers without a country code will be changed to a phone number with the Dutch country code (+31).
- If a phone numbers is stored in a different format, an error message will occur when you use the number when applying a digital signature.
To check the phone numbers of InSite users:
These phone numbers apply if a user is logged on to InSite.
- Go to: CRM / Organisation/person / Organisation/person.
- Filter by Yes in the User column to display only users.

- Open the properties of a user.
- To send text messages, Profit uses the first valid/usable phone number; the other phone numbers are ignored.
- Work cell ph.
- Private mobile no.
- Work phone no.
- Personal phone no.
To check the phone numbers of contact persons of organisations:
These phone numbers apply if an OutSite user is logged on as a contact person of an organisation.
- Open the properties of the organisation.
- Go to the tab: Contacts.
- Open the properties of a contact person.
Profit uses the first valid/usable phone number.
- Work cell ph.
- Work phone no.

To check the phone numbers of persons:
These phone numbers apply if an OutSite user is logged on as a person.
- Open the properties of a person.
Profit uses the first valid/usable phone number.
- Private mobile no.
- Personal phone no.
To check the e-mail addresses of persons/contact persons:
When sending e-mail messages, Profit uses the below e-mail addresses in the order they are listed:
- E-mail access (e-mail address used to log on to OutSite, Portal access tab).
- Work e-mail
- Personal e-mail
