Account statements

You can use an account statement to inform a debtor about his/her outstanding balance. An account statement is an overview of all of the debtor’s outstanding items. You can e-mail or print account statements.

Description

Profit collects the outstanding items to be printed in a run. You can first check these, whereby you can still exclude debtors or outstanding items you do not want to print. Only once you are entirely satisfied with the selected outstanding items do you print the run. If you print a run for the first time, Profit finalises it. You can no longer change or delete a finalised run. It is possible to print a run more than once.

On the basis of this approach you build up a history of printed (finalised) runs. At a later stage you can always trace back to whom you have sent account statements.

Preparation

  • Link/check account statement report issue method in Sales contact profile

A sales contact profile is linked to every debtor. Link the reports you send to your contact, including the account statement report, in the (default) sales contact profile. If you e-mail the account statement then you also link the message template for the account statement.

  • Configure document sending by e-mail

This component is only relevant if you want to supply account statements by e-mail. For each debtor you specify whether the account statements are to be supplied by e-mail or in paper form.
