Configure time off in lieu

In the case of time off in lieu employees can take time off as a compensation for overtime hours worked earlier.. If an employee enters overtime hours, the time off in lieu balance increases. When the employee uses time off in lieu hours for leave, the time off in lieu balance decreases.

Description

Profit tracks the time off in lieu balance using a separate leave type with Time off in lieu as the basic leave type. Per CLA/term of employment you can only use one leave type of this basic leave type.

  • Accrual of the time off in lieu balance

    The balance of the 'Time off in lieu' leave type increases when an employee enters hours on the hour types configured for this purpose. These are hour types of the basic hour types Overtime, Additional work or Worked - extra rate, for which the Processing time off in lieu field has been set to Build balance. All hour types in question automatically result in an increase of the balance of the 'Time off in lieu' leave type (meaning you do not have to define the link between the hour type and the leave type yourself).

    In case of accrual, Profit updates the leave balance after the hours have been entered or after the hours entered have been approved. This depends on the Leave accrual based on approved actual costing setting of the leave type.

  • Take time off in lieu

    The balance of the 'Time off in lieu' leave type decreases when an employee enters hours on the hour type linked to the 'Time off in lieu' leave type or when the employee takes time off via a leave request in HR.

    In case of taking leave, Profit updates the leave balance after the hours have been entered or after the hours entered have been approved. This depends on the Time off in lieu claim based on approved actual costing setting of the leave type.

The below diagram illustrates the setup of time off in lieu. The links between the 'Accrual' hour types and the 'Time off in lieu' leave type are indicated with dotted lines, because you do not have to link this data. All hour types configured for time off in lieu contribute to the balance of the 'Time off in lieu' leave type. In addition, you link one hour type to the leave type for taking time off in lieu of time worked.

Time off in lieu in combination with a non-specified timetable

If an employee has a non-specified timetable, an actual costing line is not created when you enter time off in lieu. The reason for this is that for leave entries that include a weekend, the days of the weekend would otherwise also be entered in the actual costing. That is not what you want. That is why no actual costing lines are created for employees with a non-specified timetable.
