Process an input form in the workflow

If an input form is linked to a dossier item then, in the General part in the dossier item properties, all the fields from the input form are added with the value as they have been entered by the visitor. You cannot change this data.

The Process input form with personal details action is only available if:

  • the Input form field is filled in the dossier item.
  • in the input form, the fields from the category Person, Organisation or Contact are completed;
  • in the definition of the task in question, the Process input form with personal details check box is selected.
  • the dossier item does not yet have a destination.

To process input form data:

  1. Go to: InSite.
  2. Open the properties of a dossier item to which an input form is linked.
  3. Click on the action: Processing data from the input form.
  4. Depending on the content of the input form, you can now choose from:
    • Match person: if at least the last name of the person has been entered. You can select the Do not link, but create a new person check box, but in that case the content of the Link to existing person field is deleted. If you then click OK, a new person is added.
    • Match organisation: if at least the name of the organisation has been entered. You can select the Do not link, but create a new organisation check box, but in that case the content of the Link to existing organisation field is deleted.
  5. Click on: OK.

    Depending on your choice, the person, organisation and/or contact person is now linked to the input form. If you have linked both a person and an organisation then the contact person is automatically processed.
