Assign workflow tasks to a team role

When you configure a task within a workflow, you can specify the destination of the task. For example, you can select a team role as task destination. You can use this to configure a workflow for projects and assign workflow tasks to team members based on their team role in the team.

You can configure this in InSite and/or OutSite, whereby tasks intended for internal team members (employees) are processed in InSite and tasks intended for external team members (contacts) are processed in OutSite.

AFAS supplies three default team roles that you can select as the task destination for a workflow: External project manager, Internal project manager and Team member. You can also expand the destinations yourself by adding team roles. If you add a team role, you can select this role as the task destination for a workflow, provided the team role is not blocked.

Example:

A team consists of Jan, Piet and Klaas.

Jan = Programmer

Piet = Designer

Klaas = Programmer

If you select 'Programmer' as the task destination in the workflow, Jan and Klaas will be given the task.

To assign workflow tasks to a team role:

  1. Go to: CRM / Dossier / Configuration / Dossier item type.
  2. Open the properties of the dossier item type..
  3. Go to the tab: Workflows.
  4. Open the properties of the workflow or add a new workflow.

    This opens the Workflow Editor.

  5. Click on the task:

    On the right side of the window you now see the task properties.

  6. Click on:Ins_Wortkflow Beoordelen inschrijving inrichten (10) for Task intended for.
  7. Scroll down to the task under Project.

  8. Select the team roles for whom the workflow task is intended and move it to the Addressed to frame.

    AFAS supplies the default team External project manager, Project manager and Team member. You can expand the destinations yourself by adding team roles.

  9. Click on: OK.
  10. Click on: Publish.
  11. Click on: OK.

When you submit a new dossier item to a project with the dossier item type of this workflow, then the dossier item will appear as a task in the task list of the team member who has that team role in the project concerned.
