Schedule tasks for Profit BI

To publish dashboards, you record two separate recurring tasks in the Profit Task scheduler. This action only has to be performed once.

Tasks must be scheduled in the following order:

  1. Refresh current details - every day after midnight. This is a general task you always need.
  2. Hrm tables to populate Profit BI - every working day. You only have to schedule this task if you are using HR/Payroll. Profit uses this task to collect data from Profit HR and place it in separate BI tables. Technically this is required to be able to use the dashboards.
  3. Refresh dashboards - every working day. You determine when the dashboards are republished, for example every night.

Schedule the tasks in such a way that they are completed before the working day starts. It is important that the tasks are run in sequence. Check the properties of a task to see how long on average it takes and take this into account when scheduling the tasks.

To schedule tasks:

  1. Go to: General / Management / Task scheduler.
  2. Click on: New.
  3. Select the Hrm tables to populate Profit BI task.
  4. Click on: Next.
  5. Select the start and end date. This date range determines which data will be used to populate the dashboards.

  6. Select the HR period table.

    Here, you determine how the data is displayed in the dashboards. For example, if you select a monthly table, the data in the dashboards is displayed per month.

    The choice you make here is independent from the period tables you actually use in HR/Payroll.

    Note:

    The end date setting applies to all HR dashboards. To be able to distinguish the displayed periods in the various dashboards, you can deviate from the settings for the Social and Absence dashboards. You can use the Show output per whole calendar year setting on the Social tab of the HR settings to specify this. After you have made this change, the tasks for populating and refreshing the dashboards must be run again to make the change visible in the dashboard.

  7. Click on: Next.

    Specify when the task must be executed. Keep in mind that the Refresh current details task must be performed first after midnight. Next, schedule the Hrm tables to populate Profit BI task.

  8. Click on: Finish.
  9. Also schedule the daily Refresh dashboards task. You can schedule this task to run more than once a day, but it is run once per 12 hours at the most. If you schedule the task to run more often, it will still be run only once per 12 hours.
