Extra options for a task

You can link different actions to a task. In a task, each action type may appear more than once; you can also link different action types to a task.

For all these actions, you have the following options:

  • You determine which actions are in or not in the workflow.
  • Per action you can specify whether you want to send an e-mail.
  • You can make a response mandatory.
  • You can change the description.
  • You can change the position.
  • You can use conditions and fields.

Add a Complete action

If you complete a task, it disappears from your My tasks overview.

To add a Complete action:

  1. Open Profit.
  2. Go to: CRM / Dossier / Configuration / Dossier item type.
  3. Open the properties of the dossier item type..
  4. Go to the tab: Workflows.
  5. Open the properties of the workflow..
  6. Select the task to which you want to add an action.
  7. Drag the Complete action to the task.
  8. Select the action Complete.
  9. If required, change the properties of the action.

    For example, you can change the description, specify if the action is visible and select another icon.

    In addition to the properties, you can also add field control. You can add Mandatory fields to the action or an Assign value to a field.

  10. If you want to send a message to the person to whom you have delegated the action then select the Send when starting action check box under Message.

    The On field is automatically filled with Selected user. You cannot change this.

  11. If applicable, select a message template.
  12. Click on: Save.
Add a Delegate action

The Delegate action is made up of three actions: DelegateRetrieve, and Complete.

You can only add the Delegate action to a task. The actions Retrieve and Complete are automatically visible in the workflow if the user selects Delegate.

If you delegate a task to another person, only this person sees the task in the My tasks overview. The person responsible holds rights for the dossier item. For example, he can decide to Undo delegating. This person cannot be in the same authorisation group as the one for whom the task is intended. The original recipient remains responsible for the completion of the task. If the delegated person completes the task, it is first returned to the original recipient.

To add the Delegate action:

  1. Open Profit.
  2. Go to: CRM / Dossier / Configuration / Dossier item type.
  3. Open the properties of the dossier item type..
  4. Go to the tab: Workflows.
  5. Open the properties of the workflow..
  6. Select the task to which you want to add an action.
  7. Drag the Delegate action to the task.
  8. Select the action Delegate.
  9. If required, change the properties of the action.

    For example, you can change the description, specify if the action is visible and select another icon.

  10. If you want to send a message to the person to whom you have delegated the action, then select the Send when starting action check box under Message.

Add a Transfer action

If you transfer a task to another user then the responsibility lies by the person to whom the task is transferred. The task no longer comes back.

To add a Transfer action:

  1. Open Profit.
  2. Go to: CRM / Dossier / Configuration / Dossier item type.
  3. Open the properties of the dossier item type..
  4. Go to the tab: Workflows.
  5. Open the properties of the workflow..
  6. Select the task to which you want to add an action.
  7. Drag the Hand over action to the task.
  8. Select the action Hand over.
  9. If required, change the properties of the action.

    For example, you can change the description, specify if the action is visible and select another icon.

    In addition to the properties, you can also add field control. You can add Mandatory fields to the action or an Assign value to a field.

  10. If you want to send a message to the person to whom you have transferred the action then select the Send when starting action check box under Message.

    The On field is automatically filled with Selected user. You cannot change this.

  11. If applicable, select a message template.
  12. Click on: Save.
Add the action Make me responsible

If you make yourself responsible for a task then the dossier item is only visible in your My tasks overview. Other users still have rights on this task.

To add the action Make me responsible:

  1. Open Profit.
  2. Go to: CRM / Dossier / Configuration / Dossier item type.
  3. Open the properties of the dossier item type..
  4. Go to the tab: Workflows.
  5. Open the properties of the workflow..
  6. Select the task to which you want to add an action.
  7. Drag the Make me responsible action to the task.
  8. Select the action Make me responsible.
  9. If required, change the properties of the action.

    For example, you can change the description, specify if the action is visible and select another icon.

    In addition to the properties, you can also add field control. You can add Mandatory fields to the action or an Assign value to a field.

  10. Click on: Save.
Add the action Process data from the input form

If an input form is linked to a dossier item then, when the dossier item is submitted, all the fields from the input form are added with the values entered by the visitor. You cannot change this data.

You need first to create the input form.

To add the action Process data from the input form:

  1. Open Profit.
  2. Go to: CRM / Dossier / Configuration / Dossier item type.
  3. Open the properties of the dossier item type..
  4. Go to the tab: Workflows.
  5. Open the properties of the workflow..
  6. Select the task to which you want to add an action.
  7. Drag the Processing data from the input form action to the task.
  8. Select the action Processing data from the input form.
  9. If required, change the properties of the action.

    For example, you can change the description, specify if the action is visible and select another icon.

    In addition to the properties, you can also add field control. You can add Mandatory fields to the action or an Assign value to a field.

  10. Click on: Save.
