Add a document layout for a dossier

You add a document layout that you can use to create documents which are saved in the dossier.

Note: 

If you want to use a document layout for a mailing that will be saved to the dossier, you must copy an existing document layout whose name contains [Dossier ...].

To add a document layout:

  1. Go to: CRM / Output / Management / Document.
  2. Select a document layout whose name contains [Dossier.
  3. Click on the action: Copy.
  4. Change the description and the comments of the document layout.

    Note:

    Always clearly indicate that this is a document layout for contacts.

  5. Record the other settings. These are important for the authorisation, amongst other things.
  6. Click on: Finish.

    Profit opens the document in Microsoft Word.

  7. Go to the 'Add-ins' menu. 
  8. You insert fields for the merge document:
    1. Click on: Insert field.

    2. Select the check boxes for the data you want to use in the letter.

      Using the fields under the Dossier heading you can include data from dossier items in the document during the merge.

    3. Click on: OK.

      These selected fields are now placed in the Word document, one below the other.

  9. If a field is not listed in the Insert field window, you must add it from the data collection.
    1. Click on: Data collection.
    2. Go to: Contacts (Document generator) / Change.

      Profit may notify you that the data collection contains fields that are not used in the report.

    3. Click on: No.

      You now see the Data collection wizard. On the left you see the fields that are available for contacts, on the right the fields that are listed under the Insert field button.

    4. Go to: Contact / Organisation/person / Name.
    5. Add the field to the fields in the data collection using the > button.

    6. Click on: Finish.
    7. Click on: Insert field.
    8. Add the Name field.
  10. Drag the fields to the desired location.
  11. Edit the document layout.
  12. Click on: Save.
  13. Exit Microsoft Word.
  14. Click on Yes in the message.
