Environment or administration

If you are about to manage a new company or organisation, you will have the following options: use a new environment or use a new administration in an existing environment. Read the information below before you make a choice, because once you have started it is difficult to undo your choice.

In Profit Small Business, you can have one administration per environment. If you require several administrations within a single environment, you must use Profit or Profit Accountancy Lite.

Management or Holding administrations

These types of administration are characterised by a simple chart of accounts, a limited number of entries per financial year and no debtor and/or creditor management. Nor do they usually include processing of bank statements, invoicing or fixed assets administration.

In this situation we recommend having several holding administrations in a single environment. For administrations for several customers, you can have 'separate administrations', where you can view reports per administration (such as the extended trial balance and the trial balance) and export data for the various links.

For the data usage for AFAS Online, you should take into account a 'starting usage' of 500-1,000 MB. The data usage per administration is about 20 MB per administration per financial year.

One administration including invoicing

As an accountant you have one administration for a customer, which includes debtor and creditor management and invoicing.

In this situation we recommend using an environment under Profit Small Business.

Profit Small Business is a complete and versatile package, but this package does not offer all the functionality of a full Profit licence. If, for example, you require extensive logistics functionality, you should opt for a Profit licence.

For the data usage for AFAS Online, you should take into account a 'starting usage' of 250 MB. The data usage per administration is about 20 MB per administration per financial year.

Multiple administrations for one organisation.

You have multiple administrations for a single customer, which include debtor and creditor management, invoicing and settlement account entries.

In this situation we recommend using one environment per organisation, containing the administrations of this organisation.

For the data usage for AFAS Online, you should take into account a 'starting usage' of 500-1,000 MB. The data usage per administration is about 20 MB per administration per financial year.

Environment with extensive functionality

You have your own administration with debtor and creditor management and invoicing. In this situation you can use Profit Small Business. If you require extensive functionality, you should use an ERP licence of Profit.
