Auto numbering and counters

You can have a great deal of data in Profit numbered automatically (encoding), such as organisations, quotations, vouchers, invoices, etc. If you use this option for organisations for instance, then Profit automatically suggests an organisation number when adding an organisation.

Description

For automatic numbering, you use auto numbering and counters. Their configurations are very similar: you record a format that is based on a leader and a start value, among other things. Profit uses these to automatically generate a number when needed.

The difference between auto numbering and counters is that with auto numbering you set the numbering for a single continuous range, such as a range of organisation numbers. In addition to one continuous range, you can also use date dependency for counters: for instance, you can set a counter for cash entries with a validity of one year. In that case you periodically ( every financial year) will have to manually add a new range to this counter or you have to configure the counter to have a new range added automatically by Profit.

Procedure

  • Auto numbering

You use auto numbering for organisations and persons, fixed assets, quotations and packing slips, among other things. You have additional options for purchase and sales contacts, employees, applicants and employers.

  • Counters

You use counters to determine the last voucher number or the last invoice number. Add the counters and link the correct counter to each journal.
