Export and import a definition

You can export reports, analyses, documents, entry layouts and alerts and import them in another environment.

Example:

An accountant has created a report in one environment. By first exporting the report definition and then importing it in another customer environment, a lot of time is saved and it is ensured that the same data definitions exist in all environments.

Note:

What gets exported is the definition, not the data. When you import/export a report you therefore import/export the layout, not data such as Jan Jansen, Dorpsplein 1, etc.

Export a definition

You export a definition (for example, a report) from an environment and import it in another environment.

This description does not apply to all definition types.

To export a definition:

  1. Open the environment from which you want to export the definition.
  2. Go to:
    • General / Output / Management / Report.
    • General / Output / Management / GetConnector.
    • General / Output / Management / Analysis
    • General / Management / Entry layout.
    • General / Output / Management / Document.
    • Fiscal / Output / Management / Fiscal report set.
    • HR / Output / Management / Report set.
    • For views, go to the function that the view is a part of. Display the Views toolbar using Ctrl+Shift+K if it is not visible. Click on Views / Management in the view bar.

    A deviating procedure applies when exporting an analysis to an environment under another licence.

  3. In the view, select the definition you want to export, in this example the report you want to export.

    If you want to export multiple definitions, first enable the selection column by pressing Ctrl+S. A check box now appears in front of every definition in the view. Select the different reports by selecting these check boxes.

  4. Click on the action: Export.
  5. Click on: Next.
  6. In certain situations you will then see the definition properties, for example those of the report: Description, Owner, Comment, etc.
  7. Click on: Next.

    If desired, select another location for saving the report definition.

  8. Click on: Finish.

    Profit indicates whether the export was successful.

  9. Click on: OK.
  10. Click on: Finish.
Import a definition

Using an import action you can import a definition added to another environment in the current environment. You must be authorised to use this option.

This description does not apply to all definition types.

To import a definition:

  1. Open the environment in which you want to import the definition.
  2. Go to: the appropriate function:
    • General / Output / Management / Report.
    • General / Output / Management / GetConnector.
    • General / Output / Management / Analysis
    • General / Management / Entry layout.
    • General / Output / Management / Document.
    • Fiscal / Output / Management / Fiscal report set.
    • HR / Output / Management / Report set.
    • For views, go to the function that the view is a part of. Display the Views toolbar using Ctrl+Shift+K if it is not visible. Click on Views / Management in the view bar.
  3.  Click on the action: Import.
  4. Click on: Next.
  5. Click on the File button (to import one definition) or the Folder button (to import multiple definitions).
  6. Search and select the file containing the definition to be imported, based on the file extension:
    • .dan, for analyses
    • .ely, for entry layouts
    • .gcn. for GetConnectors
  7. Click on: Open.
  8. Click on: Finish.

    Profit imports the definition.

  9. Click on: OK.
  10. Click on: Finish.

    Profit shows the imported definitions in the view.
