Dashboard Event intelligence

The dashboard provides insight into event management, revenue and the extent to which participants who have registered actually attend. You also have insight into available seats per event and you can see if there are any customers among the guests.

Future events worksheet

This worksheet provides insight into events as of today.

Use the buttons to switch between events/sessions and weeks/months. Once you have made your choice, the dashboard will be updated immediately.

KPI: Number of future sessions/events

The number of sessions or events as of today.

Bar chart: Number of future sessions/events

The distribution of future events by week or month. If the worksheet is shown by week, you will see the week numbers below the bar chart. If the worksheet is shown by month, you will see the month numbers below the bar chart.

KPI: Utilisation rate this week

The utilisation as a percentage.

Formula: (Number of guests registered this week/Number of possible registrations this week) x 100.

Rounding off to whole numbers.

KPI: Utilisation rate next week

The utilisation as a percentage.

Formula: (Number of guests registered next week/Number of possible registrations next week) x 100.

Rounding off to whole numbers.

Table: Future events/sessions

Overview of all events as of today.

  • Expected revenue

    Revenue based on the number of guests x course sales price.

  • Maximum revenue that can still be realised

    Revenue based on the number of free seats x course sales price.

Historical events worksheet

This worksheet provides insight into past events or sessions.

First, select the years for which you want to see the dashboard and determine (top right) whether you want to see events or sessions.

KPI: Utilisation rate [year]

The utilisation rate as a percentage for your selected years.

Formula: (Number of guests registered/Number of possible registrations) x 100.

You only see the selected years.

KPI: Registered guests

The number of registered guests in your selected years.

Attendance percentage = Number of guests reported as having attended/registered * 100

Bar chart: Number of events/sessions organised per year

The events or sessions in your selected years.

Chart: trend of the utilisation rate

This chart shows the utilisation rate in the years you selected. This allows you to quickly see trends over several years and intervene to prevent a low utilisation rate in the future. For example, if you see a low attendance during the summer months, you can offer discounts or hand out vouchers for this period to increase registration.

Bar chart: Average uptake per event [year]

The average utilisation rate per event based on the years you selected.

No-shows worksheet

This worksheet provides insight into guests who did not show up. These are guests who registered but did not report as being present.

Note:

The registration and presence (attendance) on this worksheet are based on the numbers on the Presence tab in Profit. If an event lasts several days, a guest will be "counted" each day. This affects the calculation of the No-shows with regard to events that last several days.

By default, you will see the current year's data. Filter by specific years and other data to gain more insight.

KPI: Number of registered guests

The total registered guests (based on attendance records) at all given events.

KPI: No-shows

No-shows as a percentage.

Formula: (Number of guests reported not present/Number of guests registered) x 100%

Bar chart: No-shows per year

No-shows shown as a percentage per year.

Formula: (Number of guests reported not present/Number of guests registered) x 100%

Line chart: No-show trend

You will see the percentage of no-shows for each month. If you have selected several years, you can see in which months more no-shows occur than otherwise on average.

Bar chart: No-shows by organisation/person [year]

You will see which organisations or individuals have a high incidence of no-shows.

Attendance worksheet

This worksheet provides detailed insight into attendance. Start with the top left filter:

  • Filter by event to see students by event.
  • Filter by student to see the events in which the student was registered.

Revenue worksheet

This worksheet provides insight into invoiced and still to be invoiced revenue.

By default, you will see the current year's data. Filter by specific years and other data to gain more insight.

You can also filter based on Event type (employee/client/customer specific).

KPI: Total invoiced revenue

Total revenue based on the line amounts of all events.

KPI: Still to be invoiced

This is revenue from events that have already been held but not yet invoiced. It looks at the set sales price. If a different price is quoted, this price will be used. The Invoice field at the guest must be selected.

Bar chart: Total invoiced by event type

The total revenue for the selected years based on the line amounts of all events (based on the Type of event filter).

Bar chart: Revenue per year

Total revenue per year based on the line amounts of all events. The years shown depend on the filter by year.

Non-invoiced revenue worksheet

This worksheet provides insight into all revenue that is not invoiced. It looks at the set sales price. If a different price is quoted, this price will be used. The Invoice field at guest may not be selected.

By default, you will see the current year's data. Filter by specific years and other data to gain more insight.

KPI: Revenue not invoiced [year]

Total of the revenue not to be invoiced

This KPI covers all events that have been given but will not be invoiced.

You will also see the percentage in comparison with the total invoiced revenue.

Formula (KPI: Revenue not to be invoiced/KPI Total invoiced revenue) * 100.

KPI: Of which free events

Not invoiced revenue based on events that are free.

KPI: Of which discounted events

Not invoiced revenue based on event discount.

Bar chart: Revenue not invoiced per year

Total revenue per year that has not been invoiced.

Bar chart: Not invoiced revenue by event/guest/organisation/person [year]

You decide whether the chart is shown based on event, guest or organisation/person.

Revenue per event that has not been invoiced. You can see in the key that a distinction is made between free events and discounted events.

Event information worksheet

This worksheet provides insight into details of your event guests.

KPI: Average revenue per guest [year]

Average revenue per guest.

Formula: Total of amounts invoiced/number of events the guest attended.

Table: Events without location

Events where no location has been established.

Circular chart: Distribution by type of event

Distribution based on customer course, customer specific course or employee course.

Bar chart: Popular locations

The number of events for each location. This refers to scheduled locations of events already given and future events.
