Print, credit and e-mail a course invoice and save it in a dossier

You can credit course invoices for a participant and then immediately e-mail, print and save in the dossier.

The following conditions apply:

  • An invoice must have been created for the course event and the relevant participant.
  • Per participant, per course event, the Credit check box should be selected!
  • You can only create one credit note per invoice.
  • The amount to be credited is determined automatically and is the same as the amount invoiced previously.
  • If automatic course invoices are credited then they cannot be processed a second time by automatic invoicing. Enter the invoices again manually by selecting CRM / Course management / Invoicing / Invoices.
  • You can only e-mail credit invoices in bulk if you have configured this.

To credit, e-mail and print course invoices automatically and save them in a dossier:

  1. Go to: CRM / Course management / Invoicing / Credit.
  2. If required, enter a value for Administration.
  3. Select a value for Invoice date.
  4. Select the Start output wizard upon completion check box to immediately supply the credit invoices.
  5. Click on: Next.
  6. Select the lines you want to credit.
  7. Click on: Finish.

    Note: 

    If you leave the screen without crediting, the selection you have made will be retained. When you start this component a next time, the marked lines will still be marked for automatic crediting.

  8. Select the Printer and Printer tray.
  9. Select a different Issue method if you want to e-mail and/or print all the reports to be processed in the same way.
  10. Select a deviating Report if you want to deviate from the default report definition for all the reports to be processed. If you do not select a deviating report, Profit determines the report type automatically.
  11. Select a different Message template (e-mail template) if you want to deviate from the default message template for the accompanying text for all e-mail messages.
  12. Select the Save in client record check box if you want to add a dossier item for each e-mail or printout with a linked report.
  13. Click on: Next.

    You now see an overview of all the lines.

  14. Click on:Print preview and/or E-mail preview if you want to see a preview.

    If you are using the queue, this step is not available and you cannot display a print preview.

  15. Click on: Finish.

    Note:

    If you are using the queue, Profit places this task in the queue. While the task is being performed in the queue, you can continue to work. See: Use and manage the queue

    The queue is always enabled in AFAS Online. That means that the task is always preformed via the queue.
