Add a person
You add persons in the module they are associated with, so you immediately record the correct information. Before you add a person, you first have to determine the type of the person. If you are adding a sales contact, go to Profit Order management and record a debtor in Profit Financieel. This way you record the person and the sales contact in one go. The same applies to a purchase contact. If you do not know the person's type, add the person in Profit CRM. If you add a person in Profit CRM, you only record the general data. If you directly add, for example, an employee in Profit HR, first enter the general personal details and then use the same wizard to enter the specific employee data.
Depending on the type you add a person from:
- Sales contact: Order Management / Sales / Sales contact
- Applicant: HR / Recruitment and selection / Applicant (or see Explanation for Applicant)
- Employee: HR / Employee / Employee (or see explanation for New Employee)
You can display these specific additional fields directly when you add a person. If you do not display these fields in the wizard, you can complete them later in the properties after adding the person.
When you add a person, regardless of the method you are using, a line is always created for the person in the Opt-In table. This table shows whether the person has given permission to send e-mails.
To add a person:
- Go to: CRM / Organisation/person / Organisation/person.
- Click on: New.
- Select Person.
- Click on: Next.
Now enter the general personal details.
- In the Name field, enter the extended name of the person, including the salutation.
Note:
Use the following input method: Mr or Ms, initials with full stops, prefix in lower case, last name with initial capital.
If you use this method, Profit puts your input in the appropriate input fields when you press the Tab key or Enter. If you do this correctly, you can save a lot of time.
For instance: ‘Ms G. van Enter-Hovink' or ‘Mr C. Ansink'.
Example: Quick person entry for Belgium
In Belgium the prefix is considered to be part of the last name, while that is not the case in the Netherlands. That is why the prefix and last name will be saved separately in a Dutch environment, while they are combined in a Belgian environment. If you enable Belgium (functionality), then you have a ‘Belgian environment’.
For example, if you add the person 'Coen van den Kadrie', the last name is 'van den Kadrie'. If the prefix starts with a capital, for example Karin Van der Meijden, the last name is 'Van der Meijden'.
- Enter the Search name.
- Check the Initials, First name, Prefix, Last name and Usual name fields and adjust them, if necessary.
- Select the Enter birth name seperately check box to register the birth name.
Note:
For persons of the Employee and Income tax client types, this is mandatory.
- To the right of the Address field, click on the search button to add an address.
Note:
Profit checks for duplicate input: you get a message if the database already contains a person with the same name or the same address.
- If possible, complete the phone number and e-mail fields. Here you can also enter work-related data.
- If applicable, complete the social network fields.
- Select the Provide values for additional person fields check box if this option can be selected.
- Click on: Next.
- Complete the Title/correspondence fields.
- Title/salutation: Select the salutation to be used in conversations and/or letters. By default, the General salutation (‘sir' and madam) is suggested. You can also select a salutation based on a title.
- Second title: In case of two titles, you can use this field.
- Correspondence: Leave this field empty if the person does not want to receive correspondence.
- Preferred medium: The preferred method of communication for this person.
- Enter the additional communication data.
- Click on: Next.
- Enter the Personal details and any comments.
- You can give someone access to an OutSite portal by enabling Allow this person access to shielded part of the portal(s).
- Click on: Finish.
