View and print a report
You use one of the functions for viewing a report. Some reports can also be displayed in another way: from the Start menu, using an action in a view or using an action in a properties window.
Consult report:
- Go to:General / Output / Report.
This function provides access to all reports. However, every product specific Start menu also has a specific menu option that only shows the reports of that product:
- CRM / Output / Report
- Financial / Output / Report
- Fiscal / Output / Report AND
- Subscriptions / Output / Report
- HR / Output / HRM report
- HR / Output / Payroll report
- Order Management / Output / Report
- Projects / Output / Report
You see the reports you can view (only the reports for which you are authorised). Certain reports (such as reminder reports) are unavailable because they are used for specific purposes. You have to use a specific function in Profit to start these reports. You can manage these reports, but they cannot be viewed in the way described here.
- Find the report using a quick filter.
- Double-click on the first report.
- You can display a print preview of the report or print it out. It is recommended to look at the print preview before you actually print the report.
- Enter a filter if you only want to display specific data in the report, for example, only employees from a certain city.
- Click on: OK.
Search in the report
You can search for all data in the report, for example for a name or an address.
To search in the report:
- Open a print preview of the report.
- Click on the search button (Ctrl+F).
- Enter the search value.
- Click on: Next.
Profit displays the found search value in blue.
- Use the search options to search more precisely:
You are searching, for example, for 'betaling':
- You have not selected the Search for complete word check box, meaning Profit also finds words like 'Betalingsvoorstel' and 'betalingsachterstand'.
- You have selected the Search for complete word check box, meaning Profit only finds 'betaling' (and not 'Betalingsvoorstel', 'betalingsachterstand', etc.).
- Case sensitive. Select this check box if you want the search result to match exactly the text you have entered. Profit takes into account the difference between upper-case and lower-case letters.
Save in dossier
You can save a report as a dossier item for an employee or contact.
To save a report in a dossier:
- Open the report:.
- Click on: Finish.
- Click on: Save in client record.
- Select Dossier item type, Type and Destination.
- Click repeatedly on: Next.
- Enter the description.
- Click on Next several times and then click on Finish to complete the wizard.
The item has been added to the selected destination.
Use the report button bar
This topic discusses the options provided by the button bar of the print preview.
To use the report button bar:
Use the Show one page and Show multiple pages buttons to specify the pages you want to display.
Using these buttons you can zoom in and out (display the text larger or smaller).
Browse. The page indication tells you on what page you are and what the total number of pages is (here: 3).
View a report with pre-entry
For some reports, a specific pre-entry is available in which you determine which data will be shown in the report. Examples of reports using pre-entry are: Trial Balance (Profit), Extended Trial Balance (Profit), Creditor ageing analysis (Profit).
To view a report using pre-entry:
- Go to: General / Output / Report.
- Open the report: Trial Balance (Profit).
- Do not change the values in the selection window.
Profit shows default values that allow you to directly view the report, but you can change these values.
- Click on: Finish.
- View the report.
- Close the report.
- Open the report again, but this time experiment with the settings in the pre-entry.
