Add, process and submit a collection set
A collection set consists of one or more collection orders. You follow the same procedure as for the single collection orders. You add a payment order, process it and generate the collection file, however, in this case from the specific start menu path for collection sets.
To add, process and submit a collection set:
- Go to: Financial / Debtor / IncassoSet.
- Click on: New.
- Select the bank group you are collecting the collection orders for.
The bank groups are split by bank since bank-specific software needs to read the bank file. An exception to this is if you are using the service of a party that can split the bank orders by bank, for example 'Equens'.
Note:
You can only process administrations for which you are authorised. If you add a collection set for a bank group that contains administrations you are not authorised for, then the result will not contain the orders for the relevant administrations.
- The fields you complete are the same as for the default procedure for adding single collection orders.
- Click on: Finish.
Following the addition, the status of the payment order set is Not processed.
- Before you generate the payment file, first view the payment order set.
- Click on the action: Process collection order.
Using this action, you generate the physical collection file (SEPA file). This file contains a batch of all of the underlying collection orders with the status Not processed or In progress.
Note:
If you are using the queue, Profit places this task in the queue. While the task is being performed in the queue, you can continue to work. See: Use and manage the queue
The queue is always enabled in AFAS Online. That means that the task is always preformed via the queue.
- Print the order letter directly or using the Order letter action.
Per collection order, Profit uses the report that has been configured for the bank account number of the administration concerned (of the bank account number).
- Send the file to the bank.
