Reverse a collection order
If your debtor undoes the payment, you can reverse the collection order. This will cause Profit to immediately undo the write-offs of the relevant outstanding items so you don't have to record these contra entries manually.
When reversing the payment, Profit carries out the following actions:
- The collection order gets the Reversed status.
- Journalising is undone, so that once again there are outstanding items.
For more information, please refer to the description of journalising.
Note:
If you reverse a collection order, it cannot be regenerated using the Process collection order action. You can, however, include the relevant outstanding items in a new collection order.
To reverse a collection order:
- Go to: Financial / Debtor / Collection order.
- Select the most recent order.
- Click on: Reverse order if you want to reverse the entire order. You can use this action if, for example, you have generated the collection file, but it has not been used.
- Enter the entry date for the contra entry of the journal entries.
- If a debtor has reversed a particular payment, click on Reverse invoice.
In the administration settings, you can specify whether the collection of the outstanding item should be repeated.
Note:
You can only reverse an invoice after a debtor has reversed the payment or if the bank has rejected the collection. If you reverse an invoice before sending the collection file to the bank, the bank rejects the order. That is because the checksum on the total amount and the checksum on the total number of transactions no longer match.
- Select the relevant outstanding item.
- Click on: Reverse line.
If the selected line belongs to a compressed payment, you can reverse the entire compressed payment using Reverse compressed transaction.
- Enter the entry date for the contra entry of the journal entries.
- Click on: Finish.
- On the General tab in the properties of the outstanding item/invoice, check the number of reversals using the Number of reversals field. Note: this number is not increased if you have reversed the complete collection order.
