Submit an annual supplementary VAT declaration
At the beginning of a new financial year, you may still be receiving invoices pertaining to the previous financial year, for example for December. You enter these invoices in the previous financial year. If you have already made the VAT declaration for the period in question, you must then submit a VAT supplement to the Tax Authority. The annual supplementation is a manual action that you must perform separately.
A supplement declaration consists solely of corrections and changes to the preceding calendar year after the VAT declaration from the last period of the preceding calendar year has been finalised. For all past financial years (from the accounting start date), the Annual supplement action checks whether corrections have been made to the entries. If a financial year has corrections with a total VAT balance <> 0, a supplementary declaration is created for that financial year.
Previously, when you created the 'regular' VAT/ICP declaration in Profit, an annual supplementation was created automatically and it was finalised when you finalised the regular declaration. You could not change this annual supplementation subsequently and Profit could create yet another annual supplementation when you created the next VAT/ICP declaration. To prevent this, Profit no longer creates this automatically and you have to create, finalise and submit the annual supplementation separately yourself.
You can send the supplementary declaration manually or electronically via XBRL/Digipoort.
You determine yourself when this supplementary declaration is submitted. However, you can set an alert in Profit that warns you when the deadline for submitting the annual supplementation approaches. Do not wait too long with the supplementary declaration because the tax authority may charge interest on the amount owed. For further information, please contact the tax authority.
Note:
- As from February 2015, you can prepare the supplementary VAT declaration and deliver it digitally via XBRL/Digipoort. You can also print the supplementary declaration and then complete it manually on the website of the Tax Authority, or you can submit the supplementary declaration on paper, using the designated model.
- If Profit generates an annual supplementation for 2008 or earlier, you cannot prepare it for XBRL/Digipoort. Digipoort requires the start date of the time frame to be after 31/01/2008; changes to 2008 and earlier years must be submitted manually. You have the option to select 'Suppress sending' for these declarations using the Suppress supplementary declaration action.
- The Annual supplement action is only available if you have set up the Netherlands as the legislative country in the administration settings.
To add and submit the annual supplementary VAT declaration:
- Go to: Financial / VAT/ICP / VAT/ICP-declaration.
- Click on the action: Annual supplement.
- In Tot jaar, select the year to which annual supplementations must be processed.
The preferred value is the current year. For example, if 2015 has been processed completely, 2016 becomes the current year.
Even if you do not yet have any declarations at all, you can create annual supplementations. In that case, the preferred value is the year until the system date.
- Click on: Finish.
- Click on: Yes.
- Open the annual supplementation and check it.
- Click on the action: Print.
If the annual supplementation is correct and complete, finalise it.
- You can finalise the annual supplementation separately after selecting the line in question.
- Submit the annual supplementation to the Tax Authority manually or electronically in the same way as the periodic VAT/ICP declaration.
If you submit the supplementary declaration manually then print it in Profit and then complete it on the website of the Tax Authority. You can also download the VAT supplementation form with the explanation from the website of the Tax Authority and submit it on paper. In that case, send the completed form by regular mail to the tax authority.
A supplementary declaration cannot be paid automatically; it must be paid manually and you must create a purchase entry yourself. Profit does not generate a payment reference for a supplementary declaration.
Do not make a manual payment until you receive the assessment from the Tax Authority; sometimes the amount to pay is more than the declaration amount because you may still have to pay a fine or tax interest. In case of a supplementation, the tax authority explicitly requests that you not initiate payment of the amount yourself. The tax authority can also settle the supplementary amounts with other amounts to be paid or received.
