Add a context with field settings for a project profile
You add a context for a project to create a context that is specific to the project profile. In a context you can record the preferred values for field settings for projects so that you can add projects more quickly by skipping steps.
To add a context for a project profile:
- Go to: Projects / Management / Project profile.
- Click on: New.
- Enter a name for the project profile.
- Click on: Maintain for Project.
The Management tool starts up. Here you see the configuration of a number of contexts. The Simple project and Extended project contexts are supplied as defaults. These cannot be maintained. Add one of your own contexts and configure it:
- Click on: New.
- Add a description for the context.
- Select a context if you want to base the new context on another existing context.
- Click on: Finish.
- Select the context that you have just created.
In the bottom part of the window you see the fields you can change for the context.
- Double-click on the line of the field for which you want to set the field settings.
- Go to the tab: Administrator settings.
- Enter the field settings for the administrator.
You enter a preferred value if a field often has the same value. When adding a job, you can skip this field if at that moment it has the correct value.
- Select Preferred value.
You select the value that you want to be suggested by default when entering new data in Preferred value.
If the field is a custom field and has no fixed values, you can enter your own value here. For example, select NL for Netherlands as Country of birth.
- Select Preferred value by means of a field formula
Select this option and click on the Show formulas button. The possible formulas for this field are now shown. However, field formulas are not possible in all fields: in date/time fields you can have a date/time determined using tags and in text fields you can have the code of the user/employee currently logged on suggested.
- Select Preferred value.
- Select the Last selected value check box if you use the same value frequently.
Example:
In an entry layout that you use daily to enter the hours and that is based on a month, you can set the month field using Last used value. If you set this field, you only need to select the correct month once a month and the rest of the month you can skip this field.
The field is no longer visible within the context of the functionality.
- Deselect the Visible check box if you do not want the field to be displayed.
- Deselect the Changeable check box if you do not want to allow users to change this field.
If a user is always allowed to change the field, select this check box.
- Select the Mandatory check box if you always want a field to be completed by a user. This means that your database is always complete with the information you need.
- Go to the tab: User settings.
- Enter the user settings.
Here too you can enter a preferred value, specify that you want to copy the last selected value for this field and set whether the field is changeable.
- Click on: OK.
- Set this for all the fields that you want to maintain.
- Close the Management tool.
You return to the project profile.
- Now use the Browse button to select the context you just configured in Project.
- In Of project, select a project that contains the phases, cost estimate, progress specification or invoice instalments that you want to copy when you use this project profile.
- Select the Copy phases, Copy cost estimate and Copy invoice instalments check boxes if you want to copy these.
You can only select the Copy phases, Copy cost estimate, Copy invoice instalments check boxes if these settings are actually used in this project.
- Click on: Finish.
