Allocate purchase orders per article using Order planning
Using the Order planning you can manually allocate your purchase and sales orders per article. Sales orders can also be allocated automatically; you can only allocate purchase orders manually.
Cost estimates and assemblies are shown only for information.
To manually allocate per article using Order planning:
- Go to: Order Management / Purchase process / Order planning.
- Select Article or Assembled item in Item type. If you first select the item code, Profit completes this field automatically.
- Select an article or assembled item for which you are tracking the stock in Item code.
- Select a warehouse.
- If required, enter a date range.
- Click on the action: F5. Select.
You now see the sales orders and purchase orders currently present for the article. For your information, assembled items, cost estimates and assemblies, and shipment notes and receipt notes for warehouse moves (provided a move preparation has been used) are also displayed here.
In Age you see how old the order is, expressed in days (today -/- order date). In Delivery date you see the Allocated date of delivery field from the order. If you have allocated lines and they are displayed in green, you can deliver the line because the agreed delivery date can be met. If lines are displayed in white, there is no problem; you can still allocate them.
Lines displayed in red indicate a problem. This can refer to the following situations:
Future:
- The purchase order will arrive later.
- The purchase order will arrive later than the date that you must deliver the sales order.
Today:
- The purchase order should have been received already.
- Even if no sales order is linked to the purchase order that is overdue, the line is displayed in red. Furthermore, if the purchase order should have been received already but you do not have to deliver the sales order yet, the sales order is displayed in red anyway.
- You should have delivered the sales order already.
- The purchase order should have been received already and you should have delivered the sales order already as well.
You can allocate the purchase line to a sales line or allocate a sales line to a purchase line.
- Allocate the sales line to a purchase line:
- Select the sales line you want to allocate.
- Click on the action: Allocate.
- Click on the action: New purchase allocation.
You then see the purchase order lines that can still be reserved for this sales order line.
or
Allocate the purchase line to a sales line:
- Select the purchase line you want to allocate.
- Click on the action: Allocate.
- Click on the action: New sales allocation.
You see the sales order lines that you can still allocate to this purchase order line.
- Select the line you want to allocate to.
- Click on: OK.
- Click on the action: Purchase order (and Sales order respectively), if you want to view the order just allocated.
- Click on the action: Relation (view the properties of the contact associated with the line).
- Click on: Finish.
- Repeat these actions for all lines you want to allocate.
- Click on: Finish.
