Set up the default sales contact profile

In a sales contact profile, you specify settings for journalising invoices. You also link the reports for the order process and the invoices, among other things. Profit supplies a default sales contact profile. In this default sales contact profile, the reports and invoices have already been linked to the provided Profit reports. This profile automatically applies to all sales contacts.

You can also set up a part of the sales process in the sales contact profile, namely the collection of orders on a packing slip and the collection of several invoices for one sales contact on one invoice.

You do not have to select the administration and the journals for invoices and credit notes. If you do not enter anything into these fields, Profit will fall back on the integration type for the integration with Profit Financieel.

Finally, you link the e-mail message templates for each part of the order process to the sales contact profile.

To set up/check the default sales contact profile:

  1. Go to: General / Configuration / Integration settings / Sales contact profile.
  2. Open the properties of the default sales contact profile.
  3. Go to the tab: General.
  4. If applicable, select a deviating administration in the Administration field to have Profit post the journal entries in another administration.
  5. Often, the journals are already set in the Integration type. If applicable select deviating journals for the journal entries for the invoices in Profit Financieel.

    If you do not complete these fields, Profit reverts to the settings of the integration type. The journal applies to all sales contacts; you cannot deviate per integration type.

  6. If you want to convert sales orders directly into purchase orders using the order proposal, select the Purchase per sales order check box. After adding the purchase order, all lines from the sales order are linked to the purchase order lines.
  7. Select the Collect orders on packing slip check box if you want to collect the orders that you deliver to a sales contact on a single packing slip.
  8. Select the Collect on invoice check box if you want to generate collection invoices, in which case Profit puts all the packing slips for a sales contact on a single invoice, for example, collected by week. Profit also uses this to collect subscription invoices and project invoices for each sales contact on a single invoice.
  9. Select the Collect per project check box if you want to generate collection invoices, but only if you use the integration with Order Management.
  10. Go to the tab: Report.

    You see that there is a linked report for all forms in the order process.

    Note:

    You can only select the report supplied as a default or copies of that report. You cannot select a report added on the basis of a data collection, because in that case the Report type: (e.g. sales order, packing slip, sales invoice) is not known.

  11. If required select another report.
  12. Go to the tab: Report invoice.
  13. Check the reports linked for the invoices.

    You can also adjust the report layout for invoices supplied as a default to your liking and then link the sales contact profile to it.

  14. Go to the tab: Message template.
  15. Link e-mail message templates for each part of the order process. An e-mail template contains a default text for e-mail messages you send using the E-mail and Output actions. The document from the order process to be sent is added to the e-mail message as an attachment (PDF file).
  16. Go to the tab: Invoice.
  17. The default is for an invoice to be printed only once. If required enter another number.
  18. Click on: OK.
