Add a message template

A message template is used to automatically generate an e-mail message from Profit. You record the default text of the e-mail in the message template.

For each e-mail message type, you have a supplied message template. You can also add message templates yourself, for example a Dutch version and an English version of the message template for your quotations. You can use a (new) English contact profile that you link to your English sales contact to send an English e-mail message with the quotation, etc.

If you have added multiple message templates per message type, you can also use them to issue reports using a deviating method.

To add a message template:

  1. Go to: General / Management / Message / Message template.
  2. Click on: New.
  3. Select the Message type.

    Note:

    It is important that you select the correct Message type. You cannot change this later! For example, the Verkoopfactuur message type is not suitable for subscription invoices. You must select the Abonnementsfactuur message type in that case.

  4. Enter a value in Description. This value is only visible internally.
  5. Click on: Next.
  6. Enter a value in Subject. This value will be visible in the Subject line of the e-mail message.
  7. If you want, you can add more tags:
    1. Go to: the position where you want to add the field.
    2. Click on:Invoegen tag.
    3. Select a tag.
  8. In the Text box, enter the body of the message that you send.
  9. In Text, also add tags to personalise the message. For instance, {InvoiceNumber} if it is a message template for e-mailing an invoice.
  10. Click on: Finish.
  11. If you want to use a new message template as the default, link it in the correct location.
  12. For the message types for the purchase and sales process, check whether a message gets generated according to your expectations. For example, use a deviating issue method for a bulk message via e-mail and then check the e-mail example.
