Additional fields for numbering

An organisation is always added in the background whenever you add a creditor or debtor. In this case, not all fields of the organisation or person are entered by the user creating it. To force these fields (such as sector and legal form) to always be completed, you can set it up at the environment level so these fields must always be shown.

To show additional fields:

In this example you view the settings recorded in the course environment.

  1. Go to: General / Environment / Management / Properties.
  2. Go to the tab: Organisation/person.

    The Applicant, Employer and Agency fields are only visible if HR is included in your licence. The Income tax client, Client Vpb, Adviser, Inspection and Accountant fields are only visible if Profit Fiscal is included in your licence.

    Select the type of Organisation or Person for which you always want the additional data to be entered. For the fields that you do not select, the Provide values for additional fields check box will become selectable and users can decide for themselves whether or not to complete the fields.

  3. Click on: Cancel.

To record the auto numbering:

In this example you view the auto numbering for new sales contacts/debtors.

  1. Go to: General / Configuration / Numbering settings / Auto numbering.

    Profit shows the view with the data for which you can set up auto numbering.

  2. Open the properties of the Sales contact auto numbering.

    At the bottom of the window, you see an example of the numbering of the successive new sales contacts/debtors. Because numbering of persons is included in the same range according to the settings, these settings also apply to the numbering of persons.

    In addition to this, you can set the manner in which Profit should handle auto numbering:

    • Use auto numbering by default.
    • User may deviate: if applicable, the user can enter a number him/herself.
    • Report generated number: after adding a new sales contact, a popup window will appear with the new generated number.
  3. Exit the properties.
