Change budgets

You can change the original budget or enter a modified budget.

If you open an operations overview, you can base the budget amounts displayed on either the original or on a modified budget.

If you add a budget based on a periodic allocation table, the sum of the periods must be 100%. For changes to budgets, this link is dropped: you can freely change the budget amounts.

Change budgets per period

To change budgets per period:

  1. Go to: Financial / Ledger / Budget.
  2. Select the budget line.
  3. Click on the action: Change budget.

    Profit displays an entry layout for changing the period budgets. If required, apply a filter on cost centre.

  4. Press: F5.

    Profit displays the period lines.

  5. Change the data.
  6. Click on: Finish.

Change budgets by a percentage

You can increase or decrease existing budgets by a percentage. This action is particularly suitable for changing a number of budgets simultaneously. Profit uses the period budgets including your changes as a basis. A periodic allocation table that has previously been applied or linked to the general ledger account is not used for this action.

Example:

During the second quarter of the current financial year, you notice your turnover is higher than budgeted. As a result, you want to increase the budgets for the turnover accounts for the second half of the year by 20%.

To achieve this, you use the Generate budget action. You select the turnover budgets (8000 - 8100) and increase them by 20%. Since you only want to adjust the budget for the last six months of the financial year, you select the period July - December.

To change budgets by a percentage:

  1. Go to: Financial / Ledger / Budget.
  2. Click on the action: Generate budget.
  3. Select a range of general ledger accounts by entering the lowest and highest value for the range. You can adjust the selection later.
  4. Select the allocation axis/cost centre if you want to budget cost centres.
  5. Enter the year you want to change the budget of.
  6. Enter the percentage by which the budget must be increased. If you want to decrease the budget, enter a negative percentage.
  7. Specify how you want to round the new budget.
  8. In Budget is based on, select Update existing budget.
  9. Click on: Next.
  10. To select the budget to be updated and the desired period:
    • Original budget

      Profit updates the original budget for the selected periods with the percentage. The original budget in the selected periods is overwritten.

    • Modified budget

      Profit updates the modified budget for the selected periods with the percentage. The modified budget is overwritten while the original budget is not.

  11. Click on: Next.

    Profit displays all ledger accounts that fall within the range and that can be budgeted. In the Basis budget column, you see the old annual amount. The Budget amount is the annual budget after the percentage increase or decrease has been applied.

  12. Select the check boxes of the accounts to be budgeted.
  13. Click on: Finish.

Change budgets from properties

To change budgets from the properties of a budget:

  1. Go to: Financial / Ledger / Budget.
  2. Open the properties of the budget line.
  3. Go to the tab: Period budget or Allocation to change the budget.

    If the selected account is budgeted on cost centres, Profit displays the Allocation tab. If not, then Profit does not display this tab.

  4. Open the properties of the line and change the original or modified budget.
