Set up or view a credit limit

You determine the credit limit amount per debtor. The credit limit is the maximum amount of outstanding items and packing slips/quotations/orders that the debtor is allowed.

The amount still allowed is calculated as follows: Credit limit -/- (Outstanding balance + Amount of outstanding packing slips + Amount of invoices not journalised + Quotation/Order amount).

You can modify the settings via the entry layout so that when you add a quotation, order, packing slip or invoice, the credit limit must be checked. When a credit limit is exceeded, Profitwill issue a message.

You can add the ‘Credit Limit’ column to views, such as the list of debtor balances. This makes it easy for you to compare the credit limit with the outstanding balance.

Set up or view a credit limit

This description applies to debtors as well as creditors.

To set or view a credit limit for a sales contact/debtor:

  1. Go to: Financial / Debtor / Debtor (or Financial / Creditor / Creditor).
  2. Open the properties of the debtor.
  3. Go to the tab: Debtor.
  4. Enter the amount in Credit limit. This is a whole amount in the currency of the sales contact.  

  5. Go to the tab:Payment.
  6. In Status monitoring, select Alleen onder rembours.
  7. Click on: OK.
Monitor the list of debtor balances using the Credit limit field

You can, for example, add the credit limit to the list of balances and the ageing analysis.

To change a view:

  1. Go to: Financial / Debtor / Overview / List of balances (or Financial / Creditor / Overview / List of balances).
  2. Add a view:
    1. Display the Views toolbar using Ctrl+Shift+K if it is not visible.
    2. Go to: Views /New view....

  3. Select based on an existing view.
  4. Click on: Next.
  5. Enter Debiteurenbewaking saldilijst in Description.
  6. Click on: Next.
  7. Select the Show all available links check box.
  8. Add the Credit limit field to the view.

    You can also add the 'Monitoring status' and 'Status monitoring description' fields to this view if you use these fields for debtor monitoring. You can find these fields somewhat lower down in Payment details / Status monitoring.

  9. Click on Next several times and then click on Finish to complete the wizard.
