Add a leave request in InSite

An employee adds a leave request for himself. He does this using InSite. All employees can log on to InSite and perform the tasks they are authorised for.

After the employee has submitted the request, his manager gets the task to approve the request via the workflow. As soon as the manager has approved the leave request, the request is converted to a leave entry. The leave balance of the employee is subsequently modified and the leave is registered in the timetable calendar (unless the employee has a variable work pattern).

Note:

If you are using the multiple employments functionality, add a leave entry for each employment.

To add a leave request using InSite:

  1. Go to: InSite.
  2. Click on: My InSite.
  3. Click on: Leave.
  4. Click on: Request.
  5. Select the Specify deviating times check box if you want to specify the start and end time of the leave request.

    Example:

    If you want to take a half day of leave, select the Specify deviating times check box. You can now adjust the start and end times so that you take a half day of leave.

  6. Enter the start and end date and the start and end time.

    You can add a leave entry if the employee has a valid contract for the period in question.

  7. Check the number of hours:
    • For employees with a work timetable or weekly timetable, InSite automatically determines the number of hours. If the total does not tally, you must adjust the start or end time of the leave entry.

      This may also be necessary if, on the first or last day of leave, the break was wrongly included.

    • For an employee with a variable work pattern, you can still change this number.

      If the Number of hours field contains a colon, then you enter the duration as hours:minutes. If not, you enter hours and hundredths. If entering the duration in hours and hundredths, a complete hour is set at 100.

  8. Select the leave type.

    You see all valid types. InSite does not take into account the end date of a leave type. The end date of the leave request must be before the end date of the leave type.

    If you do not see the required leave type, the financial year does not exist in the leave period table or the current data has not been refreshed.

    You can also enter leave here that is accrued through actual costing, provided that this has been configured.

    If you have selected a leave type, you see the new balance for the leave type in the Balance after leave entry field.

  9. Select a reason for the leave.

    In this example select .

  10. Select the temporary substitute in Substitute. If you have recorded a fixed substitute for the employee, InSite will display this as the preferred substitute.
  11. Click on: Create.
