Configure the digital prenotification of shipments (TransSmart)

For Profit customers, TransSmart can digitally register shipments of goods with more than 180 transporters such as UPS, DHL and TNT. This can save you a lot of time and might also be cheaper. You have to configure this functionality first.

Description

If you use third parties to ship your packages and such like then you usually conclude contracts with transporters such as DHL, UPS, etc. You must notify your shipments to them in advance and for each transporter has its own labels for your packages.

Using the sales order/packing slip data from Profit, TransSmart notifies your transporters about a shipment. This saves you the time and expense of manually having to fill in the online forms. Furthermore, you can use the link to print the completed labels directly.

If you have agreed it, TransSmart can also register the shipment automatically with the cheapest transporter based on the data from Profit and your contracts.

Procedure

  • Contact TransSmart

    Before you configure Profit, contact Transsmart.

  • Activate the digital prenotification of shipment functionality

    Before you can use the link with Transsmart, you must first activate the Shipments through TransSmart functionality.

  • Services of transporters for TransSmart

    In Profit, add the transporters who ship your packages. For the more advanced services, you generally have a contract directly with the transporter. If you want to specify the transporter and the service used to send your packages via TransSmart yourself then you register (or import) the services for shipping packages that transporters offer manually.

  • Sales contact profiles as cost centre

    Transsmart provides an overview of the shipments, divided per cost centre. For this, Transsmart uses the Profit field Sales contact profile that always appears on the packing slip to be prenotified. Transsmart calls your sales contact profiles 'Costcenters'.

  • Modify the entry layout

    If you want to prenotify shipments digitally with TransSmart then after activating the functionality you must add a number of fields to the entry layout of the sales order and the packing slip.

  • Set up Internet addresses for TransSmart

    In the logistics settings, you can set up two addresses for TransSmart.

  • Modify the packing slip view

    You add the Status shipment field to the packing slip view. This allows you to see quickly whether a packing slip has been correctly registered with TransSmart.

  • Shortcut to the Portal

    If desired, you can add a shortcut to the TransSmart portal to the start menu so that you can log in directly.

    In the packing slip (or, if applicable, already in the sales order) you specify that you want to prenotify the shipment to TransSmart. You also enter the number of packagings and the total weight of the shipment. These values are passed on to TransSmart as soon as you report the packing slip ready.

  • View the packing slip status in Profit and resolve errors

    When you have reported a packing slip ready, Profit sends the data to TransSmart. If the data is complete, TransSmart will send a return message which changes the Status shipment of the packing slip in Profit to Shipment received correctly. If a packing slip has not been reported to TransSmart correctly, you get an error message. You have to resolve this error.

  • Print labels from TransSmart

    If a packing slip has been received by TransSmart correctly, you can print the labels of the transporter with whom you have prenotified your shipment.

  • Track and trace and view the specification of a prenotified shipment

    From within the packing slip properties and from the TransSmart portal, you can track the shipment until is is delivered to your contact. You can use this information if your sales contact calls you with questions about the shipment. In addition to the progress of the shipment, you can use the TransSmart portal to retrieve a specification of the calculated costs. This allows you to check your invoices.
