A message template is used to automatically generate an e-mail message from Profit. You record the default text of the e-mail in the message template.

Message templates contain the general text of an e-mail message to which Profit automatically adds the quotation, invoice, etc. as an attachment.
In Profit, you set up a message template for the following situations:
- E-mail reports using the Output action (quotation, order, packing slip, invoice, account statement, etc.)
- Course confirmation
- Opt-in confirmation
The opt-in functionality provides support for mass e-mails. This is only legally permitted if the recipient has given consent in advance.
- Access to the portal
- Change a forgotten password
- Workflow action
- Pay slip, annual statement, report set and education documents
- Reminder and payment specification
For each type, you can also add multiple message templates, for example a Dutch version and an English version. You can use a (new) English contact profile that you link to your English sales contact to send an English e-mail message with the quotation, etc.
You can personalise your message templates using fields (tags), such as {InvoiceNumber}, {Contact}, etc.
In a message template, you can also set a specific sender that deviates from the general sender in the environment and/or administration properties. For each message template, you can also specify that Profit mentions the sender's e-mail address (work) as sender.

Procedure
- Change a message template
Reports you e-mail (either as PDF or as e-invoice) are sent with an accompanying e-mail message. You specify how this message looks in the message template.
- Use fields (tags) in a message template
You can use different tags in the message templates for e-mailing messages from Profit. An example of a tag is {QuotationNumber}, which you use to retrieve the specific quotation number from the quotation that was automatically attached to the e-mail as a PDF.
- Add a message template
A message template is used to automatically generate an e-mail message from Profit. You record the default text of the e-mail in the message template.
- Set a deviating sender for each message template
For each message template, you can set a deviating E-mail address sender. For example, you can use the sender address 'salesoffice@company.nl' for the message template of the 'Sales quotation'. Per message template, you can also specify that Profit should send the (work) e-mail address of the sending user as sender.
- Change the default name of an attachment
By default, an attachment to an e-mail message gets the name of the message template type, with the extension added to it. For example: ‘Salesquote.pdf’. You can change this yourself, for example by also adding the name of the organisation to the file name using a tag.
- Link a message template
Once you have added the message templates, you have to link them to the correct process.

When you use the E-mail and Output actions to mail reports, you use the message templates.
