View or change outstanding debtor items including instalments
You view the payment instalments and time intervals of an outstanding item using the Open debtor items incl. instalments view or report. You change the outstanding item from the view.
You have entered the invoice in Profit Financieel as a financial entry, or generated it in Profit Logistics, Courses, Projects and Subscriptions if you invoice there.
When applying payment instalments, the due date of the outstanding item (the financial invoice) is always the same as the due date of the first instalment. The due date of the first instalment and subsequent instalments is based on the calculation options you have configured in the properties of the payment condition.
To view or change the Outstanding debtor items view including instalments:
- Go to: Financial / Debtor / Overview / Outstanding items.
You can also retrieve outstanding items via the Outstanding items tab in Financial / Debtor / Debtor.
- Open the view:Open debtor items incl. instalments.
You see a new view with an additional Payment instalments column. Invoices without instalments are displayed as 1 line. Invoices with payment instalments are displayed on multiple lines and have the Payment instalments check box selected.
- Set the quick filter of the Payment instalments column to J if you only want to view the invoices with payment instalments.
- Open the properties of the outstanding item.
- Go to the tab: General.
- Check the bank account number.
When generating the invoice, Profit copies this bank account number from the default bank account number of the debtor. You change this to a different bank account number of the same debtor or add a new one for the relevant debtor if you want to deviate for this invoice.
- Check that the Automatically collect check box has been selected. If necessary, select this check box if you want to automatically collect this outstanding item.
By default Profit determines whether the outstanding items should be collected automatically on the basis of the Automatically collect debtor setting.
- Check if the Payment instalments check box is selected. Select this check box if you want to set up payment instalments for this outstanding item. Deselect this check box if you want to collect the outstanding item in one payment.
- Go to the tab: Payment instalments.
You see automatically generated payment instalments if you have set up a payment condition with payment instalments for this sales contact/debtor or for the invoice.
- The Expiry date column shows the due date of the instalment payment. There is a maximum of 1 payment instalment per date.
- The Amount column displays the amount of the partial payment; the cumulative of the amounts must match the invoice amount. Obviously negative amounts are not possible.
- The Balance column displays the balance of the invoice per partial payment. If the invoice has been paid partially, then the amount paid is settled against the partial payments by due date.
- Open the properties of the payment instalments if you want to change the existing payment instalments or click on New if you want to add payment instalments.
You see an entry layout for payment instalments.
- Click on the action: Generate instalments, if you want to automatically generate instalments based on an existing payment condition and the corresponding settings for the number of instalments, the interval, and the shift.
- Enter a different due date, if you want to change it manually.
- Click on the action: New, if you want to add the payment instalments per line manually. First click on the Delete action if you want to delete existing lines.
- Click on: Finish.
- Click on: OK.
To view the Outstanding debtor items report including instalments:
The report shows the different payment instalments for invoices with payment instalments. Invoices without instalments are displayed as 1 line. The sorting and the contents are identical to the Outstanding debtor items by number (Profit) report.
- Go to: Financial / Output / Report.
- Open the report:Open debtor items incl. instalments (Profit).
- Complete the fields.
- Click on: Finish.
