Set up an order proposal line from a sales order

You can automatically copy lines from sales orders to the order proposal. You can, for example, always do this or only when a stock shortage is detected. That way, you do not forget about any articles that must be ordered when purchasing stock.

Description

Order proposal lines can originate in sales orders (as well as from a stock replenishment and/or cost estimate). If you add a line to a sales order and a stock shortage is detected, a check is made to see whether or not the line must be passed on to the order proposal. As soon as a line is passed on to the order proposal, you see the quantity in the Pending order quantity field.

You can specify if and how an article must go to the order proposal. The settings for passing on sales lines in sales orders are:

  • Always (entire order line processed via purchase order)

    Profit automatically generates an order proposal for an order line for the article.

    Example: 

    You enter an order line for 10 units, the stock for this article is 30 units. For each order line, irrespective of the stock, Profit always generates an order proposal. So in this case Profit generates an order proposal of 10 units.

  • Never (no action required after sales order)

    Profit never generates an order proposal for an order line for the article.

  • Remainder (order line stock deficit)

    Profit automatically generates an order proposal for an order line for the article for that part that cannot be delivered from stock.

    Example: 

    You enter an order line for 10 units, the stock for this article is 8 units. For this order line, Profit automatically generates an order proposal for 2 units.

    Using this option, you can also have current purchase orders automatically allocated to the sales order line. This happens if you have also set the stock check to Check for available stock (sales order and packing slip) or Check for economic stock (sales order) and the allocation in sales to: 'Always allocate automatically' or 'Ask question’.

    If there is now insufficient available stock for a new sales order (line) to allow delivery of the line, then the stock shortage is first allocated to existing purchase orders. What still remains as a stock shortage is prepared for an order proposal.

    This applies both to orders entered in Profit and to orders added using the UpdateConnector or by importing them. In these cases, the 'Ask question' for the allocation of pending orders is answered with 'Yes'.

  • Always ask (regardless of stock shortage)

    Profit always asks if an order proposal should be generated for an order line for the article. At that point, the user decides ad hoc whether an entire line should go to the order proposal.

    Example: 

    You enter an order line for 10 units, the stock for this article is 30 units. For each order line, irrespective of the stock, Profit asks if an order proposal should be generated. If you choose ‘Yes’, Profit generates an order proposal for 10 units while if you choose ‘No’, no order proposal is generated.

  • Ask in case of stock shortage

    Profit asks if an order proposal should be generated for an order line for the article if the order line cannot or cannot wholly be delivered from stock.

    Example: 

    You enter an order line for 10 units, the stock for this article is 8 units. Profit asks if an order proposal should be generated. If you choose ‘Yes’, Profit generates an order proposal for 2 units while if you choose ‘No’, no order proposal is generated.

You specify one of these options for the article.

Note: 

If you choose not to add an order proposal line when asked in the sales order, then you need to have another way of being certain that the article is actually ordered. After all, in that case the quantity from the order proposal is not entered in the Pending order quantity field. So set the Stock replenishment, for example.

  • Set up an article

    If you want to have an order proposal line created during the sales order entry then you must set this up per article.

  • Set up a sales entry layout for an order proposal

    To use an order proposal from sales orders, the sales order entry layout must contain the Pending order quantity and Reserved for purchase fields.
