Subscriptions configuration
When configuring Profit Subscriptions you configure the integration with Profit Financial and you supplement a number of custom tables with specific subscription data applicable to your situation.
Note:
You must have already configured the financial environment in order to be able to use Profit Subscriptions.
Description
After configuring Profit Financial and the integration, you configure Profit Subscriptions.
When configuring Profit Subscriptions you determine whether the invoicing cycles supplied by AFAS suffice or whether you need other cycles. You then set the preferred values which Profit must suggest when you add a new subscription. This saves you time.
You can also expand upon the reasons why a sales contact terminates a subscription so that you can create an analysis later. This also applies to the subscription types you want to use.
You also determine the auto numbering, add entry layouts and reports and specify settings in the general settings and the entry layouts.
For the subscriptions you record one or more articles which you can print on the invoices and which determine the amount to be invoiced.
Note:
In Profit Subscriptions, you only have price groups if you do not have Profit Projecten available.
If you have both Profit Projecten and Profit Subscriptions, you set up the price groups in Profit Projecten.
Preparation
Procedure
- Subscriptions configuration sequence
When configuring Profit Subscriptions you keep to a specific sequence.
- Articles and authorisation integration
Subscription articles are item types. There are different types of items. In Profit Subscriptions you only use the types Article and Assembled item (an assembled item consists of multiple articles).
- Authorise subscriptions
In certain menu options, you can block access to actions and tabs of the Subscriptions module for certain users and user groups.
- Add subscription types
For the classification of the subscriptions into various types you supplement the Type of subscription table with situations that are important to you. The Type of subscription field is mandatory when you add a subscription, therefore the table must contain a minimum of 1 value.
- Supplement the cycles table
For invoicing and extending subscriptions you use an invoice cycle. The invoice cycle is the period after which you are going to invoice again. You can add invoice cycles yourself. You record this cycle for each subscription.
- Add reasons for terminating a subscription
As soon as you terminate a subscription or subscription line in Profit by entering an end date, you can select the reason which the sales contact has given for the termination.
- Set preferred values for subscriptions
You can set preferred values for subscriptions. When you add a new subscription, Profit will complete these fields for you. In that case, you can still change these fields.
- Subscription numbering
You can specify that Profit should automatically generate the subscription number. You can also specify that a user can deviate from the automatically generated number.
- Set up the immediate addition of another subscription
In the entry layout for subscriptions, you can set it up to add a subscription directly after completing a subscription.
- Configure Subscriptions in InSite
Configuration of Subscriptions in InSite consists of activating page types and adding a menu item.
- Integration with Profit Financial
You can easily journalise the pro forma subscription invoices. For this, you should first have set up the integration with Profit Financieel.
- Add a subscription article
Before you can add subscriptions and invoices, you must add the articles that you can select in the subscriptions.
- Sales contact profile for a subscription
You configure the sales contact profile for subscriptions as regards the reports, message templates and whether or not invoices are collected.
- Configure a sales contact for a subscription
Every customer with a subscription must occur in Profit as a sales contact and debtor. You can set specific preferences for each sales contact.
- Import subscriptions
You can import subscriptions and subscription lines at the same time from an ASCII file.
