Authorise substitute using a selection

You can specify a substitute for each employee. The substitute takes over the tasks in case of leave or absence. This substitute can also be granted the authorisation of the absent employee.

This subject is an extension to Automate authorisation with selection.

Example: 

Sales manager X is a member of the Internal Sales Department Managers group. This group contains persons linked to the SAI organisational unit.

During his absence he is replaced by Purchase manager Y.

This means that Purchase manager Y temporarily becomes a member of SAI, because X is part of SAI.

If you do not configure the authorisation regarding substitution, the substitute can never be authorised based on the employee he is replacing.

Configure selection:

  1. Go to: General / Configuration / Selection.
  2. Click on: New
  3. Select User as a basis for the selection.
  4. Click on: Next
  5. Profit shows the users in a view. You can now add the field to the view by which you wish to select.
  6. Add a view:
    1. Display the Views toolbar using Ctrl+Shift+K if it is not visible.
    2. Go to: Views /New view....

  7. Select User for selections.
  8. Enter the description.

    This is the description of the new view, for example Authorisation.

  9. Click on: Next
  10. Profit shows the data that you can add. You now add a field from the following categories:
    • Current details per labour relation

      You can use this category, for example to add a selection based on the organisational unit of the employee.

    • Current data via current substitute

      You can use this category, for example to add a selection based on the organisational unit of the substitute.

    In the above categories, you therefore select the same field, for example byOrganisational unit.

  11. Click on: Next
  12. Add an advanced filter.
  13. In both selections, filter by the same value, for example:

  14. Click on: Finish.
  15. Link the selection to the group.
